Job description
The Financial Secretary is responsible for maintaining records of all funds of the church, depositing funds in proper accounts, preparing monthly financial reports for the church Board, and disbursing funds of the church as authorized by the church budget.
Responsibilities:
A. Financial:
1. Keep all books and financial records of the church.
2. Responsible for the counting and depositing of all money received by the church.
3. Post all receipts in general ledger.
4. Disburse all money for church expenses and mission giving from the correct accounts.
5. Prepare monthly financial reports for Finance, Trustee, and Board review.
6. Payroll
7. Prepare and submit electronically federal and state tax payments.
8. Prepare and file quarterly Oklahoma State and IRS Form 941 tax reports. Combined reports of Church.
9. At year end, prepare W-2 reports and file electronically through ACS. Ensure employees who claim dependents update W-4 yearly (IRS requirement).
10. Assist Finance Ministry Team with information for stewardship campaign.
11. Maintain Oil & Gas Files.
B. Membership:
1. Become as familiar as possible with program and function of church to assist and answer questions of members of the church.
2. Exhibit a positive and caring attitude, as well as a desire to be an effective ministry-team member.
3. Listen to members who want to share information or have questions about giving or financial matters relating to the church.
4. Post members’ contributions to giving records.
5. Produce and mail quarterly and year-end giving reports for membership.
C. Maintenance:
1. Work closely with property chairman and head custodian regarding building and vehicle financial needs.
2. Monitor insurance needs of the church. Make claims when needed.
D. Administrative:
1. Assist Staff Secretary with telephone calls and office guests in her absence.
2. Keep office organized and filing up to date (keep financial records for 7 years – IRS requirement).
3. Memorial Gift notifications.
4. Maintain and develop personnel and payroll files.
E. Shared Responsibilities:
1. Work with Pastor and Staff Secretary on disbursements of Local Benevolent Funds.
2. Assist other staff members when needed.

Basic Requirements:
Knowledgeable in Accounting Principles, Microsoft Word, Excel, and Publisher. Able to operate all office equipment. The willingness to be open to learn new computer software and equipment usage.
Degree in Accounting preferred but not required.
