The College of Applied Health Sciences (AHS) (http://www.ahs.illinois.edu) at the University of Illinois at Urbana-Champaign is accepting applications for a Facility Operations Specialist. Under the direction of the AHS Assistant Director of Facilities and Research Operations, this position will use experience, knowledge, and independent judgment to provide administrative support for the College of Applied Health Sciences (AHS), space resources, safety policies, and procedures. This position is responsible for the day to day building related needs and requires frequent coordination with Facilities & Services. This position submits and oversees facilities workorders, evaluates construction needs and coordinates with College Administration on construction projects. In addition, the Facilities Coordinator role affects all departments within the College as well as departments across campus including Facilities and Services.

Major Duties and Responsibilities:


General Facilities

Oversee/submit AHS facility-related workorder requests and ensure workorders are completed in a timely and adequate manner.

Advise support staff on maintenance and repair work as needed for Huff Hall, Freer Hall, Speech & Hearing Science, Center for Wounded Vets, Disability Resource & Educational Services, LIFE Home, and other AHS facilities.

Assist in planning, development, and directing all scheduled maintenance work involving building HVAC systems, plumbing outages, and electrical outages such that it minimizes the impact on research and teaching missions within AHS.

Plan and coordinate work priorities for daytime building service workers (BSW). Coordinate requests for janitorial services from AHS units as well as individual faculty and staff members. Determine whether the BSW can perform the requested service or whether the matter needs to be referred to other F&S personnel. Evaluate work performance.

Serve as a liaison with F&S (evening BSW foremen, BSW Assistant Superintendent, BSW Superintendent) regarding problems with service, coordinating carpet cleaning/floor maintenance in restricted areas, and notifying evening janitorial staff of changes in room usage and service required. Find solutions to problems such as students interfering with cleaning schedules.

Provide approval and/or notice on alternative facility and system outages options. Responsible for communicating with AHS personnel regarding facility-related announcements—such as power, water, or elevator outages requested by F&S for maintenance/repairs, street closures, parking lot access problems due to street closures, property damage after break-ins, etc.

Notify the Disability Resources and Educational Services (DRES) office of ADA outages. – Department (DRES) or Clerk/Coordinator

Coordinate with Facilities and Services for movement of staff/furniture/storage.

Coordinate signage updates for AHS facilities.

Perform lab duties: scientific/research instrument basic maintenance and repairs, instructing users on the proper use of lab instrumentation, and installation, relocation, and removal of lab equipment

Space Management

In coordination with the AHS Assistant Director of Facilities and Research Operations, evaluate building activities in comparison with building operating systems, such as HVAC and lighting. Advises on necessary changes based on the analysis. Review systems for alarms and improper functioning.

Responsible for communicating with campus space inventory office when remodeling of AHS facilities occurs so that floor plans and room square footage figures can be amended.

Property Management
Serve as liaison for departments with furniture needs. Provides guidance and procedure information when units purchase furniture.

Work with Business Office to dispose surplus and scrap furniture/lab equipment through the Property Accounting Office. Arrange for F&S movers to pick up items and take them to Surplus Warehouse.

Assist staff with research equipment inventory, including the removal of old research equipment

Coordinate laboratory and equipment transfers and transitions

Place proper property tags on items when they arrive.

Assist with Biennial Inventory as needed.

Provide or assist with in-person tours of research facilities (for job candidates, industry, other stakeholders)

Safety

Provide training and/or training coordination for AHS employees pertaining to the BEAP management team and/or floor coordinator team. Investigate potential training topics for the safety team as well as College employees.

Serve as a liaison with UI Department of Public Safety. Provide notification of incidents and/or seeks guidance for potentially problematic situations. When safe to do so, addresses emergency situations professionally, calmly, and as quickly as possible.

Ensure AED equipment is available to building occupants and requests replacement equipment as needed.

Conduct monthly AED checks for AHS.

Complete and maintains certification in CPR and AED training (two-year certification).

Conduct weekly eyewash station checks in Freer Hall.

Other duties as assigned and appropriate for classification.

Education

Experience
Required: Per SUCSS Specs

Preferred: Experience with personal computers and various computer programs—e.g. Word, Excel, Outlook, Archibus, Milestone xProtect (security cameras), Power Point, etc.

Knowledge, Skills and Abilities:
Preferred: Knowledge of College and University policies, faculty, staff, and facilities.
Working knowledge of Campus Administrative Manual Policies and Guidelines.
Working knowledge of Banner processes.
Superior oral and written communication skills.
Ability to interact well with people—especially when dealing with problem situations.
Ability to perform well under pressure and time constraints.

Physical Demands/Working Conditions:

Generally, work is performed in a normal office setting, but when maintenance problems arise it is necessary to go into all areas of the buildings—e.g. attic, mechanical rooms, restrooms, etc. Movement between and within buildings is required.

Prompt attention to all matters involving the College Applied Health Sciences is essential as it affects all units in the College. In addition, high quality performance and attention to detail are imperative. Since the person in this position deals with maintenance problems in College facilities, there are frequent interruptions and decisions need to be made immediately on how to rectify the specific situation.

Salary and Appointment Status and Start Date
This is a full-time (100%), Civil Service Facility Operations Specialist position appointment on a twelve (12) month basis. The proposed start is as soon as possible after the closing date. The minimum salary for this position is $40,000.00.
