PRINCIPAL RESPONSIBILITIES:

Under the direction of the Facilities Manager, assists with the day-to-day Facilities- related functions of the organization. Receive and verify accuracy of incoming deliveries, support the organization’s operational and supply needs, and assist in performing basic maintenance and adjustments to ensure all of the buildings of the Alliance are properly maintained (and rental properties to the extent permitted).

ESSENTIAL FUNCTIONS OF THE JOB

Organization expects job performance to be consistent with its vision and mission. Day to day work is focused on these key performance areas. Percentages of time are estimates based upon observation in the position.

  • Assists with coordination of repairs and maintenance of a variety of facilities systems, components and structures. This may include visually checking fire extinguishers, minor plumbing adjustments of faucets or soap dispensers, door hardware, replacement of indoor light bulbs or overhead bins, assembling/dismantling of 1-2 cubes or sections, and/or adjusting desks, workstations, tables or chairs. May also handle the hanging or removing of frames or artwork, or other basic handyman duties. Utilizing service desk ticket system for all service requests, updating and closing in a timely (45% of time)
  • Ensure the Alliance receives the necessary support and supplies for business operations. Set up and tear down meeting rooms for Alliance meetings, events and functions. Ensure all premises (including storage areas and warehouses) are kept neat and orderly. Replenish kitchen and/or janitorial supplies as frequently as needed.
  • Update inventory master sheets for warehouse and kitchens. Perform ad-hoc janitorial duties when necessary. (20 % of time)
  • Perform individual or assist with departmental internal moves, equipment installation and transfers of ergonomic sit/stand desks and other equipment in a timely manner, with the least disruption to the staff and/or departments. This includes set up and clean-up of workstations in preparation for new hires, and the inventory and assignment of cabinet keys and cabinets for offices or cubicles. Conduct timely communication and follow-up after move(s) or hire(s) to ensure needs were met. Work with and coordinate with other Facilities team members and/or IT staff to ensure completion of work in all areas and escalate issues or conflicts when necessary. (20% of time)
  • Receive and verify correctness of all incoming deliveries such as supplies and packages, distribute and/or stock away to the facilities storages or warehouses, departments or staff in a timely manner. Coordinate the collection and shredding of confidential documents between Alliance collection bins and outside shredding vendor. Utilize electronic delivery logs, sign-off sheets, and support the maintenance of records to support invoice review and (10% of time)
  • Support all department functions including assist in daily mailroom tasks such as sorting mail, processing, and delivering parcels in a timely (5% of time)
  • Other duties as assigned. May include providing after-hours support as needed

PHYSICAL REQUIREMENTS

  • Pays close attention to skilled jobs with frequent interpersonal contacts, adaptability and consistency.
  • Walking, standing, bending, stooping, pushing/pulling a cart, using a stepstool.
  • Regularly lifting between 0-30 pounds.

MINIMUM QUALIFICATIONS:

EDUCATION OR TRAINING EQUIVALENT TO:

  • High School diploma or GED preferred.

MINIMUM YEARS OF ADDITIONAL RELATED EXPERIENCE:

  • 1 – 2 years Facilities related experience.

SPECIAL QUALIFICATIONS (SKILLS, ABILITIES, LICENSE):

  • Facilities and/or Logistics background
  • Strong customer service and time management skills
  • Ability to work in a fast-paced, proactive team environment, cooperate and communicate effectively with others, and handle multiple tasks and projects simultaneously, to completion,
  • Sense of urgency and attention to detail
  • General health and safety, OSHA and ADA compliance basic knowledge preferred.
  • Experience with help desk ticket systems, MS Office (Outlook, Word, and Excel)

Should assigned tasks include need to deliver items (such as Health Fair signage and/or documents), must possess Valid CA Driver’s License, Proof of Insurance and a good driving record.

Equipment Experience Required:

Handling of all the required basic tools for Facilities-related tasks, functions, and projects such as use of a hammer & nails, screw driver, wrench, or a power drill. Use of dollies and hand carts for relocation/moves of staff boxes & supplies. Use of up to 20ft ladder for assisting Facilities teammates in identifying potential issues for repairs, Use of a manual pallet jack to relocate incoming/outgoing printed materials, brochures, and supplies.

Pay rate range: $22.00-$33.01/hourly
