This advertisement is for a Career Service position located at Wakulla Correctional Institution as the secretary to the Assistant Warden of Operations.
Salary Range: $31,200.00 annually
SPECIFIC DUTIES AND RESPONSIBILITIES:
The incumbent will be acting on behalf of the institution providing administrative checks and balances needed to ensure that the assets of the Department are protected, and all legislative requirements are met. Duties may include, but will not be limited to the following:
- Distributes all incoming and outgoing institutional mail, prepares routine replies to correspondence/ inquiries and types reports. Assists vendors and institutional staff with
routine questions and/or problems.
- Provides clerical support of institutional operations, where applicable, in handling court documents and interpreting documents as related to institutional operations. Serves as backup to other staff in their related duties as deemed appropriate.
- Establish and maintain professional working relationships with staff and others by offering assistance by telephone or in person with intake data, completing correspondence, data entries, file creation, and file imaging while providing professional courtesy and a positive demeanor for approachable lines of communication between the institution and the public sector.
- Types correspondence, reports, memorandums and other departmental data. Composes routine correspondence. Takes and transcribes minutes from staff meetings.
- Receives and responds to or redirects telephone inquiries from the public. Reviews and distributes all incoming and outgoing mail. Maintains files of office correspondence, reports and other materials.
- Provides any requested clerical duties as assigned by the Immediate Supervisor.
- Provides clerical assistance and support with Special Projects.
- Copies, scans, and faxes documents using the appropriate equipment.
KNOWLEDGE, SKILLS AND ABILITY (KSA’s):
- Ability to prepare reports and correspondence.
- Ability to develop and implement office procedures.
- Ability to review data for accuracy and completeness.
- Ability to perform basic arithmetical calculations.
- Ability to establish and maintain effective working relationships with others.
- Knowledge of standard business formats and styles for letters and business forms.
- Ability to organize files and other records.
- Ability to use correct spelling, punctuation and grammar.
- Ability to type letters, memoranda and other standard business forms in correct format.
- Ability to handle telephone calls in a courteous and effective manner.
- Ability to proofread typed material for typewritten and grammatical errors and to make necessary corrections.
- Ability to plan, organize and coordinate work assignments.
- Ability to communicate effectively.
- Ability to alphabetize and file.
PREFFERED QUALIFICATIONS:
- Three (3) years experience in a Secretarial position.
REQUIRED QUALIFICATIONS:
- High school diploma or equivalent
- Valid Driver’s License
