Executive Assistant
Job description
Provide administrative support:
- Organize meetings
- Monitor e-mails
- Follow-up w/ subordinates on deliverables
- Handle telephones
- Produce reports
- Provide Time monitoring for Department
- Maintain City Source data base, requiring periodic input for all dept. members
- Review/follow up on 3rd party contractor approval requests
- Maintain log/monitor submission of project initiation budgets
- Organize Conferences/meetings with clients/architects/vendors
- Work with Human Resources to set up New Hire Orientation Meetings/Training with Department Heads
- Send team appreciation items (flowers, treats, etc.)
- Sales Force-Entering Prospects/Contacts/Awarding Project notifications/Lost Project notifications
- Monthly TRC- (Updating Spreadsheet) Information comes from the safety department
- KPI LOG (Monthly) Information comes from CMIC
- Client Surveys (Precon, Progress and Completion)- Done through Sales Force, tracking kept in Microsoft Excel
Provide administrative support to the Executive Vice President of the NY Operation as follows:
- Maintain calendar of appointments
- Handle correspondence, phone coverage, copying and filing
- Perform copying and filing as needed
- Travel arrangements
- Prepare monthly Expense Reports
- Schedule meetings
- Set up meetings, logging visitors into building security system
- Create and submit timesheets
- Secure conference rooms/venue, arrange food & beverage for meetings
- Order supplies, etc as necessary
- Plan ahead ensuring that meetings and calendar are without conflict and reflect priorities.
- Prepare necessary handouts, agendas, etc. in advance of meetings and deadlines.
- Reports: Monthly Sales: Assembly

- Ability to communicate effectively with all levels of employees
- Professional, enthusiastic, personable and energetic
- 5-10 years of experience in a similar role providing Executive Support
- Strong technical and reporting skills
Salary Range
- Desired salary range $60,000- $95,000
