Salary and Benefits: This is a full-time, benefited Professional l level position. Starting salary range: $40,260.00 - $45,512.00/annually, depending upon experience.

Job Summary:
Core responsibilities of this position include:
The Executive Administrative Assistant I position is within Laramie County Community College’s (LCCC) Institutional Advancement Division. The core responsibilities of this position include but are not limited to: providing direct support to the division VP, providing administrative and technical support for the Institutional Advancement Division (LCCC Foundation and Marketing & Communications Department), which include database management; support with electronic, telephone and walk-in customer traffic; assisting with processing, placement and receiving of purchases; arranging travel and processing travel requisitions; maintenance of virtual offices and other internet information; support for processes related to Institutional Advancement Division operations, such as operational forms, policy and procedure updates (LCCC Foundation) and daily office functions. This position provides administrative support including scheduling appointments, taking/providing minutes for requested meetings, and data entry responsibilities. This position provides a primary level of office coverage for the LCCC Foundation Office and division.

Other tasks may be assigned based on contemporary institutional need.

Essential Functions:

This position serves in a primary administrative support role for the assigned VP and division; providing excellent and highly professional customer service. Representative duties may include:
  • Provide professional and effective primary reception for incoming visitors, scheduled and unexpected, via telephone, electronic, and/or walk-in contacts.
  • Provides excellent customer service. Diplomatically and effectively interacts with internal and external stakeholders, senior-level administrators, as well as students, faculty, staff, and the general public.
  • Assist the Division VP with operational tasks including meeting preparation, calendar management, document preparation, and procedural tasks as needed and necessary.
  • Assist in the efficient day-to-day operation of the division and supports the entire Division team, which may include: coordinating and managing team members’ schedules, responding to inquiries from external parties when appropriate, etc.
  • Per direction from supervisor, provide administrative support for division meetings, training sessions, activities, that may include arranging for location, setting up technology needs, refreshments/catering, travel, needed supplies, contacting meeting participants, confirming schedules, sending meeting reminders, etc.
  • Engage in a high level of understanding of the LCCC Foundation’s CRM system, with a goal to use the system as efficiently as possible, including participating in trainings and implementation of new program tools.
  • Receive organize, and file appropriate documentation required to be retained for division operations. Organizes and maintains the integrity of electronic files which may include performing regular data entry; converts paper documentation to electronic formats as determined appropriate and as directed
  • As requested, attend college, division, and program trainings/meetings.

Knowledge, Skills, and Abilities:

  • Advanced working knowledge and ability with personal computing applications – specifically Microsoft Office Suite (e.g., Word, Excel, Outlook, and PowerPoint), Adobe products (e.g., Reader, Professional, Adobe Sign), as well as database management systems.
  • Strong analytical and organizational skills with attention to detail in all areas of responsibility.
  • Ability to support time-based requests; able to function effectively in a multi-tasking, fast-paced environment with deadlines, frequent interruptions, and some interpersonal pressure.
  • Skills and abilities to perform as a detail-oriented, organized, self-starter, and able to handle expeditiously, accurately, and confidentially the rapid receipt of communications from all sources—written, email, voicemail, one-on-one with attention to detail; able to act on own initiative while exercising reasonable judgment.
  • Ability to read and interpret instructions in oral, written, or diagrammatical form (e.g., a flow chart of a process).
  • Communicating with courtesy and tact, accurately determine others’ needs, collecting necessary information, and follow-through when requested.
  • Ability to travel when necessary.

Physical/Mental Demands:


To successfully perform the essential functions of this position, an employee must be able to:

  • Maintain appropriate composure and necessary confidentiality with regard to both past and current employee, student, and donor data; documents; issues; etc., and respect privacy needs of employees, students, donors.
  • Comply with highly inflexible deadlines; there will be multiple occurrences of sudden, urgent task completion required.
  • Adapt to a variable work schedule; including occasional evenings and weekends as needed.
  • Interact with employees and/or students, past employees and/or students, members of the general public, and others who express opinions or may exhibit strong emotions, which will require the employee to interact professionally, diplomatically, and appropriately in such situations.
  • Engage in daily instances of prolonged sitting, standing, and personal computer use.
  • Frequently move around the assigned work areas as well as within hallways and other parts of the campus.
  • Frequently lift and/or move up to 15 pounds and occasionally lift and/or move up to 35 pounds
  • Overnight travel may be required.

Qualifications:
Education and Experience Requirements:

Minimum Qualifications:
  • Associate degree from a regionally accredited institution in business, communications, or related field of study or in lieu of the educational requirement, three years of experience in a professional environment as an administrative assistant may be substituted for an earned degree.
  • Two years of experience providing customer service or administrative assistance in a detail oriented, computerized, and/or data-oriented environment; including proficient use of common office software programs.
  • Two years of experience with an advanced skill level using Microsoft applications, including Word, Excel, and Outlook, etc.
Preferred Qualifications:
  • Bachelor’s degree from a regionally accredited institution in business, communications, or related field of
    study.
  • Two years of work experience in an academic institution as an administrative assistant to include scheduling,
    planning, and purchasing.
