Executive Ministry Associate
to the Executive Pastor & Executive Director of Stewardship

POSITION RESPONSIBILITIES:

General Responsibilities

  • Partner with the Executive Pastor and Executive Director of Stewardship in projecting the voice and coordinating the practices of the Executive Office as it relates to the churchs:
    • Mission, vision, values and strategy
    • Major staff teams (Senior Leadership Team, Strategic Team, Resource Team)
    • Major Lay leadership teams (Board of Trustees, Board of Elders)
    • Internal and external constituencies (see below)
  • Provide effective administrative support to the Executive Pastor and Executive Director of Stewardship, including:
    • Serving as their principal receptionist and gate-keeper
    • Maintaining shared contacts and groups in Outlook
    • Organizing Executive Office-sponsored meetings and corresponding room reservations, food service and operational set-up
    • Preparing expense reports and reconciling monthly credit card statements
    • Managing reservations, accommodations, and details for hosting external visitors, as requested by the Executive Pastor and Executive Director of Stewardship
  • Set a tone of gracious presence and practical responsiveness to the inquiries of:
    • Staff, lay leadership, congregants, visitors, and guests
    • Individuals and entities beyond the churchs walls, as needed
  • Serve as the representative of the Executive Office with the Staff Recognition Team and Human Resources Office in the planning and execution of celebrations throughout the year, including:
    • Weekly All-Staff Breaks
    • Monthly All-Staff meetings
    • Employment milestones
    • Staff transition recognitions
    • The annual Holiday Luncheon
    • The annual Staff and Volunteer Picnic
    • Lunch Bunch
  • Extend the hospitality of the Executive Office by maintaining a supply of coffee, water, soda, and snacks and ordering meals, as needed.

Specific Support of the Executive Pastor

  • Provide administrative support for meetings of the Senior Leadership Team and Strategic Team, maintaining relevant files in TEAMS.
  • Coordinate calendaring, documents, communications and other arrangements in service to the work of the Elder Council and Board of Elders, including:
    • Scheduling meetings
    • Revising the Elder Roster
    • Updating the Leadership Calendar
    • Preparing and sending out other materials needed for Elder meetings
    • Maintaining current files and archives in TEAMS and shared drives
    • Updating lists of volunteer teachers and leaders for the Fall meeting of the Board
    • Supporting the annual Elder nominations process
    • Acknowledging and gifting retiring members of the Elder Board.
  • Provide administrative support for special projects/needs in other departments as agreed upon with the Executive Pastor.

  • Superior organizational, logistical, project management, communication and planning skills, including the capacity to prioritize multiple tasks under tight deadlines while maintaining high standards of composure and work quality.
  • Experience with or ability to become proficient in modern workplace software, including:
    • Microsoft Office - Word, Excel, Powerpoint, Teams (advanced skills desired)
    • Zoom teleconferencing
    • EventU scheduling (will train)
    • Touchpoint database (will train)

Knowledge of PC environment required; knowledge of Mac environment a plus.

Education & Experience

  • Bachelors degree (preferred but not required)
  • Track record of successful executive level administrative support or management
  • Experience in a service-related industry or church environment
  • Previously worked on a team or for more than one person
