We are seeking an outstanding Events and Research Coordinator to join the Skanska Team! As a Events and Research Coordinator, you will proactively manage all events ranging in size from small gatherings to large-scale conferences and events. The Events and Research Coordinator will be responsible for events from the initial planning stages, to an onsite day of event coordination, through completion and evaluation. This role is a hybrid position, and we are looking to hire someone in Nashville, Phoenix, Cincinnati, Raleigh, San Antonio, Atlanta, or Florida.

Job Description:

External Events:

  • Client Event Management and Planning
    • Research and select location, secure payment and contract negotiation
    • Work with the venue on menu items/options
    • Collaborate with our team on an invitation to send to guests and manage RSVPs
  • Overall Conference/Event Planning and Management
    • Logistics
      • Oversee conference registration/group discounts for multiple participants
      • Research and secure hotel reservations (in some cases)
      • Lead weekly or biweekly touch bases/communications to keep conference/event attendees up to date on client event RSVPs or obtain conference attendee registration info, if possible
      • Liaise with vendors, exhibitors and stakeholders during the event planning process to ensure event budget is adhered to
      • Manage set-up onsite/in-person; final inspections at the venue to ensure everything meets standards set before the event
      • Post-event evaluation with team to determine best practices, lessons learned and ROI
    • Strategy
      • Proactively identify sponsorship opportunities (for conferences) and share with team
      • Collaborate with teams who may have submitted a speaking opportunity for specific conferences
      • Work with the content team to keep our team on track as it relates to speaking opportunities and content needed for each conference
    • Communication
      • Before, during and/or after event, work with communications on social media plans
      • Work in partnership with communications on a standard template for social media promotion
      • Manage internal communication channel for all conferences (Teams)

Internal Events: (i.e., SkanskaBuild, ConTech, Marketing/Comms Summit)

  • Overall Conference Planning and Management
    • Logistics/Coordination
      • Overall management of the conference, including logistics, agenda, location, venue, F&B, etc.
      • Research and select location, secure payment and contract negotiation (if event is in-person)
      • Collaborate with the strategy team on an invitation to send to attendees/guests and manage RSVPs
      • Manage and communicate presentation rehearsal schedules
      • Create and manage subcommittees to plan for events
      • Load information into conference platforms (i.e., ShowFlow)
    • Strategy
      • Brainstorm session ideas with content teams
    • Marketing/Communication
      • Develop a toolkit and templates that can be used by local offices
      • Support team members on presentation clean-up to brand standards

Special Projects:

Other special projects, research and strategy opportunities (ad doc support) include, but are not limited to:

  • Design firm research/dashboard
  • Means and methods
  • Power BI dashboards
  • Case studies/assignments for continuous improvement team
  • Other research projects (competitor intel, virtual platforms, etc.)

  • Able to handle stress, work independently and ability to travel onsite for events and meetings.

Competencies / Skills:

  • Proficient in Microsoft Suite: Outlook, Word, Excel, Teams, OneDrive, etc.
  • Proficient in productivity applications (Monday.com, slack)
  • A proven track record of organizing successful events
  • Ability to work well under pressure and deadlines
  • Customer service-related experience

Education and Experience:

  • At least 2-3 years prior relevant experience managing events of varying sizes.
  • 4-year college degree is preferred.
