General Description:

The EMR Architect is tasked with the technical architecture and system administration of the Electronic Medical Record (EMR) via the Carelogic software system. This individual will work closely with other members of the EMR/IT teams and other employees of Places for People to ensure that the technical architecture is supportive of the overall business, existing technical environment, and the mission of Places for People. Additionally, this individual serves as a conduit for all EMR Help Desk inquires for PFP employees. Important skills necessary to this position include the ability to work productively with a wide range of people, good oral and written skills, as well as a demonstrated ability to develop and articulate solution concepts to internal audiences and translate from concepts into a solidified system solution for implementation and operation.


Job duties include but are not limited to:


System Administration and Maintenance

  • Manage data source input tables as needed, with completion happening within five (5) business days of new configurable form creation
  • Design and code configurable forms after approval of design assessment within two (2) to three (3) business days of final design approval
  • Build and configure service documents within two (2) to three (3) business days of written request
  • Maintain service documents cross walk module, linking service documents to EMR schedule as needed for Help Desk support issues and building new structure within two (2) to three (3) business days, for newly identified and approved system updates
  • Maintain scheduled activity configuration, setting up new activities, end date discontinued activities within two (2) to three (3) business days of written communication request
  • Maintain group configuration, building group rosters, setting up new groups, discontinued groups etc. within two (2) to three (3) business days of written communication request
  • Menu management as needed, with implementation timeline for new structure
  • Payer and Payer Plan set up within five (5) business days of written communication request
  • Utilize and maintain training and testing system (certification environment) for new structure set up and implementation
  • Attend Monthly System Admin Partnership meetings with QSI Team
  • Attend Quarterly MO Group Meetings in Jefferson City

Help Desk Support

  • Correction processing - High priority (Level III) items are to be completed within 24 to 48 hours of written communication request. Other items will be completed within five (5) business days of written communication request
  • Mechanisms – Remote Collaborative interface, email, phone and in person
  • System troubleshooting - High priority (Level III) items are to be completed within 24 to 48 hours of written communication request. Other items will be completed within five (5) business days of written communication request.
  • Liaison between PFP staff and Qualifacts support as needed– High priority items, such as system maintenance, a down system, unexpected system performance issues, etc. will be communicated as soon as one becomes aware of them via electronic communication

Project Management

  • Ability to define the scope of New EMR Projects
  • Maintain the Cycle of Project Management
    • Initiation – Organizing and managing Project Objectives
    • Planning – Create schedule(s) and Tasks (Roadmap)
    • Execution – Roadmap execution; assignment and completion of Tasks
    • Monitor and Control – Identify and resolve any issues that arise throughout project completion. Add need QC mechanisms to track effectiveness of Project Road Map
    • Close – Completion of all “back-end” quality checks, Training Schedules, Meeting Agenda’s, Training Tools, and Rollout Go-Live Communications

Other responsibilities

  • Assist EMR Team Leader with identifying Annual Project Roadmap
  • Manage data and reports for grants as needed within 3 to 5 business days of written communication request
  • Assist in the facilitation of work groups and training sessions related to EMR education
  • Attend staff meetings and meetings necessary for EMR administration
  • Work closely with EMR Team Leader and other members of the EMR team to help build the architecture necessary for new agency-wide initiatives including but not limited New Reporting Platform, Value Base Care, and other initiatives not yet known to us
  • Completes annual training requirements as outlined by agency requirements and supervisor
  • Performs other related tasks as assigned by the supervisor

Qualifications:

  • High School Diploma or equivalent
  • One (1) year of experience with data entry, maintaining databases, database reporting, spreadsheets, and Microsoft Office
  • Accurate data entry skills (typing and attention to detail)
  • Some post-high school course work or 2 years of EHR or system application experience preferred
  • Experience with Carelogic by Qualifacts a plus
