The Dispatcher position delivers exceptional customer service reflective of Lute’s Property Services (LPS) values by ensuring that the first interaction with the customer exceeds their expectations in terms of service and quality. The Dispatcher supports maintenance technicians and the office in any way needed, scheduling appointments, recruiting, problem solving, etc.

Job Description

  • Greet incoming visitors
  • Carrying administrative duties such as filing, typing, copying, printing, scanning etc.
  • Monitor office supply levels and create orders. This should ensure that at no time the office is out of paper, toilet paper, ink, pens etc.
  • Answer the phone and direct calls and jobs to technicians or take messages per LPS process
  • Handle sensitive information in a confidential manner.
  • Update administrative systems and office procedures to make them more efficient.
  • Maintain up-to-date employee and client birthday records
  • Manage facility reports and maintenance as requested by clients
  • Organize activities and production of technicians on a day-to-day basis
  • Oversee scheduling and reporting of monthly and quarterly preventive maintenance inspections to eliminate deficiencies and improve facilities
  • Organize and order materials, supplies, and equipment needed for work orders
  • Prioritize urgency of customer requests and implement problem solving as needed
  • Maintain relationships with technicians and leadership staff to achieve desired company goals
  • Provide support to leadership team as needed
  • Provide support to accounting department by assisting with accounts receivable, accounts payable, and other duties as assigned.

The above duties are not meant to restrict initiative, but rather define minimum activities. These duties may be altered to suit the needs of the company, President, or General Manager.

Qualifications

Competencies:

  • Minimum of 2 years prior industry experience in a related field
  • Ability to occasionally work extended hours beyond 7:30-4:00 workday

Knowledge and Skills:

  • Strong people management skills including listening, oral, and written communication
  • Basic computer skills, including, but not limited to Google Suite, Slack, and MHelpDesk (Basic MHelpDesk training provided on the job)
  • Demonstrate strong resourcefulness and adaptability skills
  • Ability to multitask and prioritize work orders to ensure they are completed within the requested time frame and budget
  • Strong knowledge and experience in providing effective customer service
  • Ability to work independently with minimum oversight from supervisors
  • Attention to detail and high level of accuracy
  • Must be dog friendly

Education/Certification Requirements:

  • High School diploma or GED required

Job Type: Full-time

Pay: $18.00 - $20.00 per hour
