SUMMARY

  • Works with the Chief Innovation and Medical Officer in setting the objectives and key results for the Research & New Therapies (R&NT) staff and assists in budget preparations and quarterly monitoring for the R&NT team.
  • Acts as the outward face of the Research and New Therapies group.
  • Performs program administrative and project management work in support of the Research Department. The work involves executing and managing program activities preparing reports, and program planning for research department events as well as providing budget assistance, preparing program information materials under the direction of the Chief Outcomes Officer, and working closely with the Chief Medical and Innovation Officer.
  • Conducts national and international conference presentations to create professional awareness of programs and promote the work of the Foundation and its mission.


ESSENTIAL DUTIES AND RESPONSIBILITIES

Management of Ongoing Research Projects:

  • Maintain the Device-a-pedia page
  • Maintain the Pipeline Tracker Website

Project Responsibilities: Conferences

  • Lead Project manager of the Research Roundtable Conference which may include the following responsibilities:
    • Work with the Chief Medical and Innovation Officer to help set the research agenda, coordinate the meeting logistics, and host the annual conferences.
    • Planning and tracking of timelines and checklists for tasks to be completed.
    • Coordinate weekly meetings with the executive committee and quarterly meetings with the advisory committee.
    • Coordinates the production of meeting materials and communications with speakers, participants, and appropriate national staff to coordinate the Research Roundtable conference including follow-up materials.
    • Assists in the budget management of Research Roundtable-related expenses including venue and vendor contracts.
    • Acts as staff liaison with other project management/events/operations teams to manage logistical or administrative planning for the Research Roundtable.
    • Works with the Development team to deliver Roundtable Membership benefits.
    • Manage event logistics and serve as internal point of contact (registration, ordering, and shipping materials).
    • Works with the Chief Medical and Innovation Officer to deliver the manuscripts and disseminate outcomes.
  • Lead project manager of the Pipeline Meeting
    • Assists with managing project coordination events/operations team to manage logistical or administrative planning for research-related events for the Pipeline Conference in a supportive role as requested by the Pipeline project manager, CMOO and CMIO
    • Work with CMIO to identify speakers and topics
    • Work with CMIO to identify companies for pipeline talks, coordinate pipeline speakers
    • Work with CMIO to organize a selection of Shark Tank presenters (from the Accelerator course or from proposals outside the Accelerator course)
    • Identify reviewers for Shark Tank if outside of the Accelerator course
    • Organize pitches for Shark Tank
  • Lead organizer of the Accelerator course
    • Work with CMIO and EF partners (eg Danny Did, Sonya Dumanis, Caitlin Grzescowiak) to organize course speakers and material
    • Work with CMIO to identify companies to participate in the course
    • Identify individuals to participate in pitch sessions
  • Coordinate with the American Epilepsy Society in their peer review process and will work with the Chief Medical & Innovation Officer and PAB Research & New Therapies Subcommittee to select proposals for funding and monitor the progress of funded projects. Prepares reports and evaluation materials for staff and advisory board oversight.
  • Look for grant opportunities in the research realm for EF, and assist in grant preparation

Department/Administrative Responsibilities:

  • Assists the Chief Outcomes Officer and Chief Medical and Innovation Officer with deliverables as assigned
  • Provides support for Research department-related contract processing as requested
  • Triage inquiries to the department on research and innovation projects, PAB, and BOD
  • Coordinates the dissemination of research education both internally within the Foundation and externally through the local foundation network and on the web.
  • Work with appropriate EF staff to generate reports for the PAB, EF BOD, and EVF BOD as requested.
  • Providing content/materials to the Marketing/Communications team when appropriate (i.e., Foundation Quarterly).
  • Responsible for coordinating effective stakeholder engagement in research programs, through establishing and maintaining strategic partnerships to support program recognition, expansion, and collaborations.
  • Responds to inquiries from researchers, institutions, donors, and consumers.
  • Stays abreast of the latest research, literature, and issues related to assigned initiatives, projects, and audiences


ADDITIONAL DUTIES AND RESPONSIBILITIES

Performs related work as required, occasional administrative work on behalf of the Chief Outcomes Officer and CMIO


EDUCATION/EXPERIENCE

  • Master’s degree or equivalent in neuroscience, biology, chemistry, physics, engineering, and related scientific or technical fields considered.
  • At least three years of experience working in biomedical research, in not-for-profit service-based organizations, or in other relevant work experience which contributes to this position.


SPECIFIC KNOWLEDGE, SKILLS, ABILITIES, LICENSES, CERTIFICATIONS, ETC:

Knowledge of -

  • Current concepts in neuroscience research and related areas of science or technology
  • Rigorous peer review and research funding decision processes
  • Effective principles and practices of program management
  • Administrative management including budgets, and program reporting.
  • Microsoft Office, Internet, Intranet, Microsoft Project and general database knowledge.
  • Grant preparation, grant writing

Ability to -

  • Independently perform program administrative duties
  • Write clearly and concisely at levels suitable for scientific publication and public audiences
  • Communicate and work effectively with a variety of people including epilepsy patients, research scientists, healthcare providers, government officials, industry representatives, and individuals from diverse cultural backgrounds and those with disabilities
  • Work independently on a variety of diverse tasks simultaneously with minimal supervision
  • Travel as needed to support programs

Program administrative practices and procedures as applied to the requirements of the Foundations Research and Professional Education programs.

TRAVEL, WORK ENVIRONMENT, AND PHYSICAL DEMANDS

  • This is a full-time position, working 35 hours per week, Monday-Friday, 9 AM – 5 PM eastern.
  • The Director operates in a professional office environment and routinely uses office equipment (currently working from home, under our current COVID operations policy and will continue until further notice).
  • While performing the duties of this job, the employee is regularly required to talk and hear and will require staring at a computer screen and/or documents for extended periods of time, stand/move around when filing for extended periods of time, some lifting (boxes, packages, office equipment) and moving tables/chairs to set up meeting spaces.
  • Some travel may occasionally be required for events.
  • This position is expected to regularly attend Foundation meetings and training.
