Director – National Indexing
The Director – National Indexing provides expertise in the areas of digital indexing software, metadata, indexing asset management, and indexing techniques, automations, and workflows. This position ensures that all indexing workflows are functioning optimally and promotes consistency in indexing production and workflow schemes through a data-driven approach to production, quality, and performance.
The Job To Be Done
- Provide vision, focus, leadership, and direction for innovation of indexing practices with the Company
- Manage an efficient and effective department through strategic planning, assessment, reporting, and optimal use of time, space, supplies, and budget
- Understand Indexing Standards and handling of variations of document types
- Optimize, develop, and oversee indexing workflows throughout the department; develop and document department standards
- Design workflows to maximize throughput for optimal margin performance and deliver on KPI objectives
- Follow technical standards and best practices for adhering to standards, familiar with current and emerging standards and technologies
- Utilize off-the-shelf and/or custom-built software/technology to automate production and Quality Control/Assurance processes
- Schedule jobs/projects based on company and department priorities in collaboration with Sales and other production operating units
- Create and maintain KPIs to measure performance against standards and against plan; review KPIs with senior management and advise on performance variances from expectation
- Partner with COO/VP/Accounting to create reporting requirements and data capture/management programs
- Develop new competencies among staff and expand institutional knowledge of current and emerging best practices, tools, strategies, and standards.
- Manage and optimize third-party vendor relationships
- Create and implement indexing operational strategy and planning in-line with the delivery operating plan and strategies
The Ideal Candidate
Five to ten years of relevant experience, including progressively responsible leadership experience resulting in outstanding leadership capabilities- Experience working in a production environment
- A track record of building effective partnerships and sustaining relationships in a collaborative, complex environment comprising multiple and diverse stakeholders
- Experience in managing complex, time-sensitive projects, evaluating workflows, and successfully designing or enhancing production-oriented work processes
- Demonstrated expertise in configuring, operating, and maintaining the full range of indexing software
- Demonstrated expertise in technical indexing
- Demonstrated expertise with AI and/or software applications for indexing
- Ability to identify, analyze, and solve problems affecting production
- Attention to production monthly revenue goals and balancing workforce priorities to achieve these goals while hitting delivery targets
- Excellent oral and written communication skills and the ability to explain complex technical issues and processes to nontechnical audiences
- Strong desire and deep understanding of available tools and systems to advance processes and automation
