Departmental Assistant – Central Regional Leader

Regional lead departmental assistant will work in collaboration with the Regional Manager of OP Services for assigned clinics in keeping the standards of MH and DA regulations, funding streams, and CenClear while preserving the identified strategic goals and objectives of the program and agency.

This position reports to the Central Regional Manager of OP Services.

Location:

  • Central: Clearfield, Coalport, Dubois and Philipsburg

Education/Experience:

  • A minimum of a 2-year business degree and 2-years’ experience or 5 years’ experience as a department assistant preferable in a mental health or drug and alcohol program.

General Duties:

  • Staff Development / Oversite: Train departmental assistants on job tasks, procedures, agency policy
  • Conduct orientation with new MH/DA departmental assistants
  • Conduct monthly department assistant meetings
  • Provide monthly supervision to supervisees and ongoing support and direction as needed
  • Complete clerical evaluations/appraisals
  • Work to resolve personnel/performance issues while following agency process of retrain/mentor/disciplinary steps as necessary
  • Monitor quality supervisees work
  • Understand and possess knowledge pertaining to office equipment in order to train departmental assistants on use
  • Review information with the Central Regional Manager regarding performance of departmental assistants
  • Develop procedures with management team through open communication and contributing ideas to create/modify processes
  • Review information with other agency staff regarding policy, procedures, or assignments
  • Department Assistant duties for coverage of absent staff – completion of tasks unable to be reassigned
  • Maintain daily work schedules of all departmental assistance within your region
  • Create coverage schedules related to PTO time, vacant positions, and lunch coverage
  • Order supplies as needed for assigned clinics
  • Operate as liaison with departmental assistants and management team
  • Communicate division needs to appropriate staff
  • Identify potential/identified areas of concern then process to appropriate staff
  • Interact with consumers and members of community
  • Assist staff with information and materials
  • Distribution of information / documentation as necessary or requested according to established guidelines and procedures

Physical Abilities:

  • Ability to reach over head.
  • Lift and carry objects over thirty (30) pounds.
  • Bend to reach objects from the floor.
  • Stand for extended period of time with reasonable breaks.
  • Operate office machines.
  • Sit for extended period of time with reasonable breaks.
  • Vision and hearing within normal limits
