Job Summary:
Work Schedule: Mon-Fri; 8a-4:30p
Creates accurate patient records during the registration process. Ensures that all patient data is entered into Employee Assistance Program (EAP) registration and billing systems for accurate and complete billing. Provides insurance verification information and communicates accurately and timely with patients and clinicians regarding benefits. Provides correct coding of diagnosis for billing.
Responsibilities:
Essential Job Functions
Registers patients into EAP registration system to ensure accurate records are created and maintained.
- Collects and verifies patient demographics, insurance information, and other essential information for entry into the EAP registration system.
- Demonstrates a thorough knowledge of the system and requirements.
- Verifies that all required registration and consent documents are received.
- Ensures that counselors are entering scheduling/billing documentation accurately.
- Collects and enters data needed for reporting features.
- Assists in the completion of month end reports.
Verifies coverage/benefits, pre-certification, co-payments, co-insurance from insurance companies.
- Maintains knowledge of insurance plans.
- Responds to insurance inquiries by answering questions, assisting with referrals, and completing necessary paperwork.
- Maintains knowledge of practice protocols and communicates appropriately.
- Accurately documents required information.
- Maintains privacy and confidentiality of information.
- Responds to requests for medical records following hospital policy and HIPAA guidelines.
- Communicates coverage information to the counselors.
Registers patients into the billing system to ensure accurate records are created and maintained.
- Collects and verifies patient demographics, insurance information, and other essential information for entry into the billing system.
- Demonstrates thorough knowledge of the billing system and requirements.
- Responds to and processes requests for foundation assistance.
- Responds to questions, assists with referrals and completes necessary paperwork.
- Acts as a liaison for counselors and billing staff.
- Maintains privacy and confidentiality of information.
Maintains a system of entering and tracking encounters to ensure all visits are properly billed and reports are accurately compiled.
- Ensures charge tickets are accurately completed.
- Balances client encounters on a daily basis.
- Ensures all documented CPT and ICD-10 codes are valid for reporting of Mental Health services.
- Enters coding for diagnosis into billing system.
- Audits charges to verify entry has been accurately completed.
- Audits clinical notes to ensure they match CPT codes and Diagnosis.
- Compiles reports by extracting/running, auditing and typing data/information into reconciliation report format.
- Processes discharges of clients files and ensures adherence to destruction policies.
- Demonstrates thorough knowledge of CPT and ICD-10 coding for Mental Health.
- Posts adjustments and write offs for Foundation assistance in Revenue Cycle to ensure that the statements are correct.
- Enters the charges, and adjustments from the charge tickets.
Accurately and efficiently performs administrative and clerical duties.
- Distributes mail efficiently.
- Copies, scans, faxes and distributes information as required/requested.
- Maintains calendars and schedules appointments/meetings when requested.
- Type’s correspondence as requested.
- Maintains organized filing system.
- Prioritizes daily activities according to need, deadline and workload.
- Communicates priorities, projects and workload appropriately.
- Analyzes and resolves problems.
- Reads and responds to emails.

- Knowledge of office procedures and the principles of record keeping.
