JOB DESCRIPTION AND POSITION REQUIREMENTS:

The Dean’s Office in the College of the Liberal Arts invites applications for a Coordinator for Faculty Affairs to manage and act as the point of contact for academic processes for the entire College.

Reporting to the Associate Dean (AD) for Faculty Affairs and Advancement , the Coordinator will work closely with and assist the AD, Dean, department heads, program directors, faculty, staff, the administrative team, and the Office of the Vice Provost for Faculty Affairs to manage and provide oversight of the College’s academic processes. This includes promotion and tenure; promotion, immediate tenure, and post-tenure reviews; and the sabbatical leave process.

This position serves as the College’s knowledge leader for the tenure-line faculty promotion and tenure (P&T) process. They will provide accurate, detailed, and timely review and feedback of dossiers and associated materials; direction and support for the College’s P&T Committees; mentoring, advising, training, and oversight of departmental P&T staff; and meticulous tracking of processes to ensure required materials are correctly compiled and College and University deadlines are met.

The Coordinator will implement changes in internal and University policy and procedures; interpret and communicate internal policies and procedures and establish appropriate procedures across the organization; coordinate arrangements for and provide guidance to multiple College faculty committees; assist with strategic and operational planning and implementation; review and check documents for completeness; ensure accuracy and conformance with applicable guidelines, regulations, and procedural requirements; and maintain databases.

The Coordinator will also manage the non-tenure-line faculty promotion, post-tenure review, and sabbatical leave processes; oversee the College’s online sabbatical application system; coordinate with the HR team to ensure timely and accurate processing of leaves and returns from leaves; and oversee the visiting scholar appointment process. In addition, this position is responsible for the development and delivery of regular training programs and workshops for College department heads, program directors, faculty, and staff on academic affairs processes and policies, as well as individual training and mentoring on request.

The Coordinator will serve on College and University level committees including the University’s Activity Insight Oversight Committee. Additionally, this position will manage assigned projects at the College level and seek opportunities to collaborate with other units across the University.

The Coordinator of Faculty Affairs will typically use Microsoft SharePoint and DocFinity, and the following systems which are specific to Penn State: PTORP (Promotion and Tenure Online Reviewing System) and FAIS (Faculty Activity Insight System).

Education and Experience: This position will be filled at the rank of an Administrative Support Coordinator 4, which typically requires an Associate's degree or higher plus four years of related experience, or an equivalent combination of education and experience.

The successful candidate must have the ability to lead without positional authority, excellent communication skills, outstanding editing and critical thinking skills, proven presentation skills, the ability to maintain confidentiality, and a keen desire to support the success of others. The candidate must also have the ability to work across departments and consistently strive for excellence in customer service.
