Job Description Summary:
The Moses Weitzman Health System (MWHS) is seeking a Contracts Manager to join its Legal Department. This position reports to the General Counsel with responsibilities covering a broad range of tasks related to the management of the contract workflow and database system used by MWHS and its affiliates. The Contracts Manager will play a central role in ensuring that the contracting process runs smoothly. The successful candidate will work closely with the General Counsel, the Chief Financial Officer and the Grants Department to ensure that all contracts meet MWHS and legal requirements.
Job Description:
Duties and Responsibilities:
- Serve as resident expert of the electronic contract workflow and database system for MWHS and affiliates (experience with MediTract software application a plus)
- Ensure compliance with the defined contract workflow process
- Create vendor profiles and perform sanctions checks
- Monitor and correct workflows for accuracy and completion
- Edit user groups to reflect change in staff
- Grant and maintain user access rights
- Serve as point person for user inquiries
- Maintain the Contracts SharePoint site
- Assist with contract retrieval
- Perform regular audits of contracts and contracting process
- Assist staff with drafting amendments, interpreting basic term provisions, determining appropriate responsible parties/contract owners
- Run ad hoc reports as requested by MWHS leadership
- Create guidance documents and training presentations
- Conduct end-user training sessions on the use of the electronic contract workflow and database system
- Promote the contract owner’s compliance with contract terms and conditions
- Serve as a primary contact with the software application vendor for all issues relating to the contract workflow and database system;
- Work with the Compliance Officer/Privacy Officer and Joint Commission/HRSA Compliance Officer to ensure that contractual regulatory compliance components are met
- Other duties related to the operations of the Legal Department as directed by the General Counsel or their designee
Requirements and Qualifications:
- Bachelor’s degree and and/or 5 years equivalent work experience
- Ability to communicate effectively orally and in writing
- Keen ability to adapt to and use new technologies
- Exceptional analytical, creativity, organizational and problem-solving skills
- Knowledge of or ability to learn legal requirements involved with contracts
- Ability to work with varying seniority levels, including staff, managers and external partners
- Experience training staff in a corporate setting
- Demonstrated ability to work independently with minimal supervision; multi-task and prioritize in a fast-paced setting
- Proficient in use of databases and Microsoft Office products, particularly Word, PowerPoint and Excel
- Must regard work as confidential
- Must be a team player
