Position Overview
The Contracts Coordinator will play an integral role in the Asset Management department by being responsible for performing all Contracts Coordinator functions, including processing and coding of all capital improvements and speculative improvement construction contracts as well as special projects. THIS POSITION IS BASED IN DALLAS. Responsibilities will also include all Job-Cost functions including maintaining the budgets and reporting.

Responsibilities (include, but are not limited to the below ):
Contract Coordinator Duties:
- Prepare all contracts for Capital Improvements and Spec units include scope of work for All projects, including tracking all start and completion dates per the vendors or contractors schedules.
- Organizing, coding, entering and posting contract invoices into the Yardi within tight deadlines
- Prepare Construction Contracts as requested by managers and obtains all documentation necessary from contractors and sub-contractors, including Insurance, W-9 forms, etc. Make sure that every contract has a start and completion schedule.
- Manage Change Orders, obtain backup from contractors as needed including if the change orders increase the project timeline/schedule.
- Process and review payment applications related to construction contracts against the completion or construction schedule.
- Assist with any special projects and other administrative duties as requested
- Coordinate with CM for clarifications or other review processes as needed
Job Cost Duties:
- Enter construction contracts in Yardi Job-Cost and maintains the Job-Cost budgets
- Manage the lien waiver tracking, each pay application/invoice should have a partial or final waiver of liens from contractors
- Advise accounting of capital requirements at the asset level for them to be prepared for upcoming loan draws
Qualifications
- Bachelor’s degree from a four-year college or university in Business, Accounting or other related field
- 3+ years of related experience
- Yardi Construction Manager software a plus
