The Construction Coordinator, will administer, coordinate, implement, and support development, transaction and marketing endeavors. It is the responsibility of the Construction Coordinator to accomplish responsibilities within Transwestern Development Company quality standards and corporate goals and in a manner that helps maximize the efficiency of the group and the value of the assigned properties.
ESSENTIAL JOB FUNCTIONS

Secure appropriate paperwork for vendors.

Partner with Title companies to track earnest money.

Oversee vendor onsite visits from scheduling to visit.

Attend construction meetings.

Manage meeting minutes for OAC construction calls.

Process monthly pay applications.

Develop and maintain a detailed project schedule which includes administrative tasks and all sites involved in the project.

Coordination and tracking of franchise utilities for active development projects.

Track all deal proposals and costs/commitments for active development projects.

Assist with related market research on development opportunities.

Assist with due diligence research for title, land and site usage, etc.

Maintain departmental filing and tracking systems. Includes establishing files for all written / email correspondence, project work, and reports as necessary.

Understand and manage equity partner and bank loan agreement requirements.

Evaluate and file material testing reports; assist in resolving non-compliant reports.

Assist in tracking and evaluation of development pricing and change orders.

Assist in contract generation, including utilizing AIA software.

Request, review and track certificates of insurance for consultants and contractors on development projects.

Maintain up to date contract document electronic files.

Schedule and organize meetings, conference calls and appointments. Prepare items in relation to meetings, including but not limited to, creation and assembly of documents for distribution, coordination of site reservation, food orders, attendance confirmations, and interacting with attendees to address questions or issues on event.

Coordinate travel arrangements including air reservations, scheduling options, hotel reservations, and car rental reservations. Develop travel itineraries to correspond with current schedules.

Assist in the completion and processing of expense forms for assigned staff.

Produce monthly reports for internal and external clients, based on area of business.

Prepare memoranda, letters, proposals, charts, tables and other documents using various software packages.

Compile moderately complex documents and information for necessary reports, informational packages and/or presentation materials.
POSITION REQUIREMENTS

A bachelor’s degree is preferred.

A minimum of 3 years or relevant experience.

Advanced proficiency with Microsoft Word, Excel and PowerPoint.

Must have the ability to multi-task.

Must have strong organizational, administrative, and problem-solving skills; able to manage priorities and workflow.

Must possess leadership qualities and work well in a team environment.

Ability to be self-managed/work independently.

Ability to provide efficient, timely, reliable and courteous service to internal and external customers.

Ability to keep information and internal communications confidential.

Exhibit excellent verbal and written communication skills.
