Primary Responsibilities

  • The candidate for this position requires the utmost in professionalism, outstanding communication skills, and the ability to work well with others in a fast-paced work environment handling time sensitive materials. The successful candidate will be very diligent, adaptive to changes in process, even tempered, accurate attention to detail, and demonstrate an overall positive attitude when meeting deadlines.
  • Establish, organize, maintain, and archive construction phase project files for assigned projects, including pre-construction documents (i.e., issue log/addendum log)
  • Set up and maintain computerized databases and logs for document control and tracking. Items to be tracked include but not limited to, RFIs, submittals, change orders, applications for payment, field observation reports, close-out documents, and other construction documents.
  • Ensure all documents are stamped, logged, processed and distributed in a timely manner (i.e., RFIs, submittals) to the appropriate parties.
  • Follow up with discipline leads to facilitate timely returns of RFIs and submittals.
  • Provide periodic open RFI and submittal logs to the project team to communicate due dates and priorities.
  • Maintain open communications with the Owner, Contractor/ Construction Manager, Consultants, and Project Team Members to assure efficient flow of documentation.
  • Learn and effectively use Owner’s or Contractor’s document control software for downloading and uploading RFIs, submittals, and other project documents. (Training is provided.)
  • Become familiar with, and ensure adherence to, company standards.
  • Attend periodic meetings with owner and contractor to report status of RFIs and submittals; mostly by video conference or telephone, but could be in person.
  • Other such duties as are consistent with a position of this nature.
  • Work assignments may occur at project field (trailer) offices.
Qualifications


Required Qualifications

  • Associate degree in a closely related field or combination of education and relevant experience
  • A minimum of 1+ years related experience
  • Proficiency in Microsoft Word and Excel
  • An attitude and commitment to being an active participant of our employee-owned culture is a must

Preferred Qualifications

  • Bachelor's degree preferred
  • 3+ years of related work experience, with hands-on experience using PC-based MS Word, Excel, SharePoint, and industry specific software, such as Newforma Project Center, Procore, Unifier, etc. in an Architectural/Engineering or Construction Manager’s environment preferred.
  • Preference given to local candidates

This position requires the successful candidate to have strong people skills, a team first attitude, and ability to effectively work under and meet tight deadlines, ability to manage multiple sometimes complex projects simultaneously, excellent written and verbal communication skills, robust conceptual, organizational, problem solving and research abilities. Proficiency in Revit or AutoCAD is a plus.
