General Statement

Delivers direct and indirect administrative support to the Allied Health Programs by creating, maintaining, and updating data bases, compiling data, maintaining records, preparing reports and documents, and distributing information through the use of a personal computer and other office equipment. Manages office inquiries and issues associated with Healthcare Programs. Provides flexible, responsive, and high-quality customer service to the entire college community.


Hours 8AM-4PM. Some early morning, evening, or weekend availability will be required.

Duties and Responsibilities

  • Provides clerical support for a primary program (or programs) as assigned and assist other healthcare programs as needed in cooperation with the Assistant Dean of School of Healthcare and Program Coordinators.
  • Provides clerical support for the scheduling and administration of Program Advisory Board meetings, including meeting minutes.
  • Answer emails, phones and greet and direct visitors, staff members, and students and take messages and/or provide information as needed.
  • Manages basic admission inquiries and issues associated with the onboarding of new students to our School of Healthcare program.
  • Locate and withdraw information from records by using personal computer, searching files, web sites, databases, conferring with staff and other departmental personnel, etc. in order to prepare reports or respond to inquiries by supervisor, Assistant Dean of School of Healthcare, or Program Coordinators.
  • Provides clerical support to maintain log of student re-admission requests, petitions for curricular waivers, concerns, and high-risk appeals.
  • Provides clerical support to Assistant Dean of School of Healthcare and Program Coordinators on external accrediting agency reporting requirements and other related reports.
  • Prepare confidential reports, correspondence, and other communications requiring high level of accuracy and professional appearance.
  • Uphold FERPA, OSHA, HIPPA and CDC requirements for our Healthcare Programs.
  • Ability to exercise sound independent judgment and ability to coordinate office in absence of immediate supervisor or in response to urgent situations.
  • Provides clerical support for the development and administration of our course scheduling and faculty teaching assignments in cooperation with the Dean of School of Healthcare and Program Coordinators.
  • Provides clerical support for the reporting of part time and full-time employee attendance/payroll.
  • Provides clerical support for the development and administration of clinical courses held at off-site locations.
  • Provides clerical support for the development of orientation materials and semester start up materials for Healthcare Programs in cooperation with the Assistant Dean of School of Healthcare and Program Coordinators.
  • Provides clerical support for the student registration of the clinical, lab, and other courses for students entering healthcare programs in cooperation with the Dean of School of Healthcare and Program Coordinators.
  • Instruct students, staff, and faculty with entering information into third party background check and immunization tracking software program. Troubleshoot and assist with use as needed.
  • Provides clerical support for the collection of items, such as clinical placement tickets, CORI/SORI forms, etc., from students, staff, and faculty related to program and school needs.
  • Assist faculty and students as needed.
  • Actively support the teaching and learning process; practicing honesty and integrity in and out of the classroom; strive to create and support a student-centered environment while fostering academic innovation and excellence.
  • Work actively with other areas of the college to ensure a spirit of college wide collaboration, collegiality, civility, and teamwork. Respect the function of dissent in an academic institution while advancing a collegial atmosphere of campus collaboration.

Job Requirements:


Minimum Qualifications

  • Proficiency using MS Word, Excel, PowerPoint, Access, and Outlook.
  • An Associate Degree or two years of full-time, equivalent part-time, experience in office work, or (B) any equivalent combination of the required experience and the substitutions below.

Substitutions:

  • A diploma as evidence of graduation from the commercial or business course of a recognized high school or vocational/technical high school may be substituted for a maximum of one year of the required experience.
  • A diploma as evidence of graduation from a course other than the commercial or business course of a recognized high school or vocational/technical high school or possession of Massachusetts high school equivalency certificate may be substituted for maximum of eight months of the required experience.*
  • A diploma for completion of a one-year, or equivalent part-time program, in a recognized, non-degree granting business or secretarial school above the high school level may be substituted for a maximum of one year of the required experience*.
  • A diploma for completion of a two-year, full-time, or equivalent part-time program in a recognized non-degree granting business or secretarial school above the high school level may be substituted for the required experience.*

  • Excellent organizational skills and ability to maintain accurate records.
  • Ability to plan and complete multiple tasks on schedule.
  • Experience working with college students
  • Experience working with healthcare programs
  • Excellent oral and written communication skills.
