This is responsible administrative support work of a difficult nature involving a wide variety of assigned duties, on occasion of a confidential nature, supporting an administrative official and department staff. Work includes attending meetings to take and accurately transcribe dictation of more than average difficulty; researching and compiling records and related data; composing and typing correspondence, memoranda and reports; arranging conferences and meetings; maintaining appointment schedules; screening telephone calls and office visitors; receiving and resolving complaints; conducting public relations activities; and answering routine questions regarding organizational programs, policies, and procedures. Work requires the exercise of considerable independent judgment and discretion.

Salary: $21.42 - $32.59 Hourly

To Qualify

Minimum Qualifications. Applicants must:

  • Possess a valid high school diploma or GED equivalency.
  • Have at least one year of responsible experience in performing secretarial and office support work.
  • Be highly proficient in the use of a personal computer and administrative support software such as Microsoft Office Suite.
  • Be able to accurately type a minimum of 45 words per minute.
  • Be able to communicate clearly and concisely, orally and in writing.
  • Have thorough knowledge of business English, grammar, punctuation, spelling, public relations and telephone etiquette.
  • Be able to understand and carry out complex oral and written instructions.
  • Be able to prioritize work, meet time constraints and make routine decisions in accordance with departmental policies.

Desirable Qualifications. Preferred applicants:

  • Have considerable experience typing diversified information rapidly and accurately from live meetings, dictation, audio recordings, stenographic notes, and handwritten copy.
  • Have considerable experience reviewing work products for context, accuracy, punctuation, grammar, spacing and general appearance.
  • Have considerable knowledge of the operations, policies and procedures of the office of City Clerk.
