Job Description Summary
The staff member will be responsible for career advising, daily administrative/clerical operations, and assist the leadership team on strategic projects associated with Academic and Career Services and the Department of Education funded Title V grant. The staff member will use independent judgment in executing project-related tasks as assigned by the leadership team, maintain records, perform various administrative duties, and related project activities. Additionally, the staff member will have experience with the following: working with diverse populations in an educational setting; coordinating across units and creating buy-in from multiple constituencies; understanding of basic computer software programs and other audio-visual equipment; proofreading and good composition, grammar, and punctuation skills; producing accurate technical information and writing reports. The candidate will have supervisory oversight of clerical and student workers and exercise independent administrative leadership.
Note: This position is contingent on the receipt of Title V funding. Furthermore, once the Title V Grant expires, this position will only be renewed if operational funding is identified. This grant and position is set to end on September 30, 2025.

Specific Duties
- Career Advising: Provides one-on-one career counseling on career readiness topics, resume development, and job search skills. Serves as an expert and primary contact for staff and faculty advisors who are unclear about the 8 NACE career readiness competencies, soft skills necessary for the workforce, and technology platforms offered to students at the University of La Verne. Assists with advisor and student training ahead of Summer Opportunity for Advising & Registration (SOAR).
- Project and Programming Coordination: Coordinate various projects/programs as assigned by leadership including regular communications with updates to ensure project timelines, focus on priorities, and logical sequential order. Is fully aware of, and involved in, the programmatic and academic functions of the grant to ensure adequate and complete integration with the staffing and human resource element of program delivery.
Administration: Execute administrative functions such as handling incoming calls and other communications, managing filing systems, recording information as needed, greeting clients and visitors as needed, updating paperwork, maintaining documents and word processing, helping organize and maintain office common areas, performing general office clerk duties and errands, organizing travel by booking accommodations and reservations needs as required, coordinating events as necessary, maintaining supply inventory, maintaining office equipment as needed, aiding with client reception as needed, creating, maintaining, and entering information into databases.
Event Management: Manage various on and off-campus events, including but not limited to program meetings, events, conferences, and guest speakers. Negotiate contracts with vendors and/or hotels. Direct, plan, and organize event logistics including event registrations, event marketing, and working with various vendors. Create event timelines, priorities and deliverables.
Professional Development: Attend staff development sessions, staff meetings, and/or other meetings or trainings as necessary. Maintain a presence in the office during business hours to ensure office coverage when we have face-to-face operations. Support and participate in a positive work environment through appropriate communication with co-workers; work collaboratively toward staff team goals; attend staff meetings and trainings; cross-train with other staff to maintain cross-functionality. Will train, mentor, and supervise clerical and student workers to career readiness standards.
Fiscal Planning & Control: Manage and direct budget allocation, financial reporting, and financial resources. Prepare budget projections, create and analyze budget proposals. Analyze and audit historical financial data and prepare financial recommendations. Develop budgetary planning, monitoring and controls, and prepares financial reports. Manage and oversee program financial processes including verifying and approving faculty and adjunct faculty contracts, pay advices, and any other accounts payable expenses, including mileage reimbursement forms, etc. Conducts periodic audits and review of all contracts and financial aspects of the program. Works closely with the Program Director to monitor and reduce costs, waste, and redundancy.

- Bachelor’s Degree
- Knowledge of career advising
Knowledge of administrative and clerical procedures and systems such as word processing, managing files and records, designing forms, and other office procedures and terminology
General knowledge of managing program budget and expenditures with the ability to analyze financial data
Time management and organizational skills; detail oriented skills
Critical thinking skills, including using logic and reasoning to identify the strengths and weaknesses of alternative solutions, conclusions or approaches to problems
Effective social skills with the ability to negotiate, persuade, and have social perceptiveness
Knowledge and skill in using Office Suite functions
- Knowledge and skilled in using Banner to retrieve student records, and look up information
- Ability to gather, analyze, and evaluate various data and/or metrics
Knowledge of University principles and processes for providing support to students, faculty and staff
