Job Description
We are seeking a highly organized Business Analyst, (Facilities Operations Specialist II), at our Foster City Campus with expertise in database administration, periodic reporting, data analysis and project support.
Summary
Reporting to the Sr. Manager of Asset Management Foster City, the Business Analyst will help develop innovative and effective business solutions that align with our organizational goals and coordinate cross-functionally with Facilities Operations and business stakeholders on key projects and initiatives. Working as a collaborative team member, this role will help develop and deliver activities associated with key projects and initiatives, such as research, data analytics, visualization, and presentation preparation for Facilities Operations.
The Role
Based in Foster City, California, the Business Analyst will help with the expansion of facilities data analytics and reporting, develop effective business solutions and analyze data to provide procedural recommendations. Additionally, this role will collaborate and strategize with Foster City Facilities Operations to ensure commonality in business data/analysis reporting.
Key responsibilities of the role include but are not limited to:
  • The position’s primary focus will be to advance analytical reporting and services across Facilities Management Operations and provide insightful, data correlations and data intelligence, which will drive forward decision-making and monitor expected performance.
  • This position requires the ability to extract, collect and maintain the data used to communicate performance within the organization and develop analytic approaches to enhance analysis and reporting
  • Run and analyze reports per requests from organizational departments and/or leadership
  • Provide insights, business intelligence, and management analytics (leveraging SmartSheet, SpotFire, R, Python, ThoughtSpot, Tableau, Power BI, etc.) for effective decision-making
  • Connect data or data warehouses to data visualization platforms
  • Compile and analyze operations data and KPIs, organize key data analytics and business operations solutions into presentation format and BI dashboards for review and proposals
  • Facilitate in the implementation of change by identifying business needs, analyzing information and recommending relevant solutions
  • Work with stakeholders throughout Facilities Operations to identify opportunities to leverage budget, resources, projects & operational data that drive business solutions.
  • Develop processes and tools to monitor and analyze model performance and data
  • Understand data structures and modeling
  • Identify opportunities for improvement in databases, data sets, and reports utilized by the department
  • Provide direct project support and routine timeline management while providing regular updates back to the requestor(s) and stakeholders
  • Responsible for other administrative tasks as necessary to complete or support projects (e.g. design, develop and maintain Sharepoint sites)
  • Help implement and collect survey data and translate data into findings in presentation format for review
  • Enable effective decision-making by retrieving and aggregating data from multiple sources and compiling it into a digestible and actionable report
  • Additional responsibilities include:
o Serve as key liaison between Facilities Operations and Project Team and produce reports on current requirements for relevant assets maintained in VFA and CMMS.
o Collect relevant information from Project Team, such as completed work order reports, new requirements or project tracking forms
o Provide a final report on key changes to asset information in the portfolio, and the impact on Facility Condition Index (FCI) and other metrics.
Requirements
  • Bachelors + 4 yrs or Masters + 2yrs exp as a Business Analyst and reporting experience in an operational setting
  • 2+ years of experience in a compliance or regulatory environment preferred
  • Technical skills must include Advanced SQL, Data Visualization via tools like Tableau/Crystal
  • Highly proficient in MS Suite including Access, Excel, PowerPoint, and Word
Knowledge and Skills
  • Ability to communicate and partner with the business and technical teams clearly, and translate complex information needs into specific action items
  • Experience gathering business requirements, creating ad-hoc reports, and designing scalable solutions to automate those ad-hoc reports
  • Experience querying, analyzing, and reporting large datasets to answer complex business questions
  • Demonstrate strong business acumen including logical, analytical, technical, problem-solving, interpersonal and negotiation skills
  • Ability to think creatively and work collaboratively to address problems
  • Ability to present solutions to multidisciplinary teams
  • Ability to write and present reports and presentations
  • Well-developed written and verbal communication skills
  • Strong knowledge and experience with relational databases and SQL query functionality
  • Expertise at communicating information to different levels of management
  • Data-driven with a mindset of continual improvement
  • This is an onsite position. The role is expected to be onsite 5 days a week.

The salary range for this position is: $104,125.00 - $134,750.00. Gilead considers a variety of factors when determining base compensation, including experience, qualifications, and geographic location. These considerations mean actual compensation will vary. This position may also be eligible for a discretionary annual bonus, discretionary stock-based long-term incentives (eligibility may vary based on role), paid time off, and a benefits package.
