Essential Job Functions:

Maintains a professional image; performs duties in a courteous, friendly manner; provides excellent customer service. Independently prepares forms and composes letters for supervisor’s signature; types letters and other materials from copy or rough draft. Attends meetings, records minutes, and prepares them in final form for distribution to designated individuals and agencies. Prepares monthly and quarterly division reports. Processes building permits and schedules inspections. Enters permits/inspections into software program. Sets up and maintains files. Files letters and other documents alphabetically, numerically or by other established classifications. Retrieves and assembles information for supervisor’s use. Processes invoices and purchase orders. Requisitions supplies; completes appropriate documentation related to same. Maintains appointment calendars; schedules appointments and meetings of supervisor. Receives and screens callers; takes telephone messages, supplies general information on division operations and refers calls to other employees, officials, or departments when required. Follows up with building permit applicants and addresses concerns. Researches reports and data; assists in compiling data, drafting, proofreading, and processing reports, letters, and documents. Opens and processes daily mail. Operates a variety of office equipment including a copy machine, fax machine, calculator, typewriter, and computer using standard office related software, etc. Assists the general public and other department/divisions; provides non-technical information concerning the Building Division. Knowledge, Skills & Abilities:

  • Knowledge of general office practices and procedures, and equipment.
  • Knowledge of business English, spelling and punctuation.
  • Ability to learn the functions and operation of the organization, to include the names and departmental locations of employees.
  • Ability to operate a console type telephone unit/switchboard.
  • Ability to use a well-modulated and pleasing voice to use correct grammar in choice of words to speak clearly and distinctly.
  • Ability to understand and follow oral and written instructions.
  • Ability to positively represent the Building Division and the City by providing clear, positive, and friendly customer service.
  • Ability to maintain confidentiality regarding proposed development projects and plans.
  • Must possess good organizational and time management skills to assist the division in tracking work task and deadlines.
  • Ability to type at a moderate rate of speed.
  • Shorthand or speed writing/note-taking preferred but not required.

Minimum Education & Experience:

  • Graduation from an accredited high school or possession of an acceptable equivalency diploma.
  • Three years’ experience in performing administrative and support work and typing experience.
  • An equivalent combination of education and experience determined to be directly related to the foregoing specific requirements may be substituted.

Special Requirements:

Must be able to become a notary.
