Job Description:

The primary purpose of this position is to be responsible for all aspects of billing for mental health programs and office administration. Office and Billing Managerwill be experienced in office management skills such as organizing and monitoring administrative duties, billing medical insurances, billing with use of a purchase order system through CSA, maintaining the insurance billing platform, maintaining encryption services, securing programs needed to complete office management tasks, providing payment for software/services, establishing procedures for maintaining electronic records, monitoring the company main line and referral e-mail, and conducting employee payroll. Billing duties will include verifying insurance coverage, submitting claims, following up on outstanding balances, and resolving any claim denials or rejections. The billing specialist performs high-volume advanced data entry work. Work involves entering, verifying, researching, coding, correcting, billing, collecting, and retrieving information from source documents and/or computer systems with high accuracy. In addition to insurance billing, the Office and Billing Manager will work with a Purchase Order (PO) system that will include frequent communication with local Community Service Agencies. Office Manager duties include providing support to our managers, employees, and clients, assisting in daily office needs and managing our company’s general administrative activities. Office Manager responsibilities include hiring and maintaining employee files and assisting with the agency's credentialing process. The ideal candidate should have excellent oral and written communication skills and be able to organize their work using tools, like MS Excel and office equipment.

Essential Functions:

· Submission and Fiscal tracking of payments received and issued for services/software.

· Submission and Fiscal tracking of services billed via Purchase Order of Service system to local CSAs for all service areas.

· Submission and Fiscal tracking of Insurance based services (therapy, evaluations, intakes, and medication management) through the Therasoft program.

· Communicate with the local CSA offices regarding the fiscal needs of the business – PO discrepancies, missing payments, overpayments, funding approvals, etc.

· Maintenance and monitoring of electronic records – employee files, fiscal tracking, client records, insurance records, etc.

· Payroll - Maintenance and monitoring of accounting records – direct deposit for employee wages and tax information.

· Securing and Maintenance of all billing platforms to include psychiatric service billing, encryption services, credentialing services, etc.

· Review both timesheets and monthly reports during billing week to ensure accuracy and address discrepancies with supervisors/employees that need to be addressed.

· Overseeing, submitting, and monitoring workman’s compensation claims.

· Obtaining and maintaining agency liability insurance and any subsequent claims that may be filed.

· Participation in completion of the new hire paperwork packet and obtain LES IDs for new employees.

· Disseminate information from All Staff meetings to employees as they relate to administrative tasks.

· Work closely with Directors, other Supervisors, and Office Managers to address day-to-day issues, ensure solid onboarding of new employees, and all One Drive Processes.

· Monitor, manage, and communicate with the medication management provider regarding appointments scheduled, needs of the families such as prescription refills and questions, communicate with families/workers scheduled for appointments, and submit insurance billing for payments of these appointments.

· Participate in weekly strategy meetings.

· Organize and maintain the systems of tracking such as the Board, waitlists, and referral items.

· Monitor and reply to the referral e-mail/main company phone line, delegate referrals and concerns to appropriate channels, and answer service questions as they relate to services provided.

· Problem-solve with supervisors, challenges with employees as they relate to billing, reports, and HR related items.

· Oversee PTO requests and hourly tracking for salaried employees.

· Monitor and submit counselor/resident/agency information for the credentialing process, follow up with the various insurance agencies, determine what is and isn’t allowable for credentialing and billing.

· Meeting consistently as a group to discuss challenges with billing and planning for the business billing needs.

· Participating in planning for All Staff meetings as they relate to the billing process.

· Maintaining employee files for new hire information/forms, discussions with employees, and employee termination information/forms.

· Brainstorming ideas with the director to address concerns across billing and office management portion of the business and developing a plan to address them.

· Assisting in developing new billing policies and procedures to address ever-changing business needs.

· Organizing and maintaining service wait lists.

· Possess excellent multi-tasking skills, positive attitude, ability to work cooperatively and patiently with outside agencies and company co-workers, and willingness to be creative and think outside of the box.

Job Type: Full-time

Salary Range: $35,000 to $55,000 per year

Experience:

  • Bookkeeping & HR: 1 year (Preferred)
  • Mental Health Insurance billing: 1 year (Preferred)
  • Proficient in Microsoft Suite, SharePoint and heavy use of excel required.
