As the assistant to associate deans, you will provide support by conducting departmental and college business, scheduling appointments and maintaining calendars, greeting visitors to the office, screening and arranging telephone calls, and handling the analysis and organization of office operations/procedures. You will be expected to act as a liaison between the dean and other departments along with being responsible for the distribution of information and taking notes and minutes for meetings as well as making arrangements for these meetings. The assistant also prepares all travel accommodations for the dean. In this position you will be responsible for researching and compiling information for reports, prioritizing written communications as it pertains to the dean, coordinating all new faculty interviews on the dean’s behalf and preparing the new roster, participating in professional development activities, and attending weekly meetings with the assistant to the chief academic officer.

Departmental responsibilities will also fall to the assistant to the associate dean, such as maintaining faculty audits and peer observation assignments; assisting department chairs with schedule concerns, policies, and procedures; helping students with similar concerns; and attending quarterly department meetings. The assistant will be required to track departmental budgets and purchases as well as supervise work-study students, manage production-room operations, and assist in the organization/promotion of signature events.

Minimum Qualifications:

  • Bachelor’s degree (B.A.) with two years of related administrative support work experience

Travel Required: Less than 10%

Work Hours:  The university work week is Sunday through Saturday. Most offices are open Monday through Friday from 8:30 a.m. to 5:30 p.m. To accommodate business needs, employees may be assigned to other workdays and/or hours, including weekends and evenings.
