Job Description
Under the supervision the Regional Associate Executive Director, the Assistant Director of Ambulatory Care Services provides assistance to the management executives in the operation of health care facility and assists in supervision of a group of services/ Pro-actively manages the facility's and ensure operational processes are met.
DUTIES & RESPONSIBILITIES:
1. Provides assistant to the executive's team in a wide range of activities in the management of the health care facility including technical, operational and related support activity services.
2. Monitor clinical practice operations to insure optimal patient care.
3. Assess clinical practice for readiness.
4. Participates in morning and afternoon briefing and clinical huddle.
5. Utilizes multiple resources such as patient information, clinical data, and evidence-based guidelines.
6. Maintains open communication with the team.
7. Collaborate with the Medical Director, Director of Nursing and Supervising Head Nurse to assure patient flow and patient experience.
8. Monitor open visits and ensure open visits are closed throughout the month. Identify the reason(s) visits are still open and collaborate the Medical Director.
9. Ensure that clerical staff obtain and attend training to optimize work performance.
10. Analyze patient flow to increase efficiency, reduce wait time and enhance productivity.
11. Work in collaboration with Ambulatory Care clinical and managerial staff to monitor adherence to PCMH standards to ensure compliance with accrediting and/or regulatory agencies.
12. Responsible for clerical staff supervision, performance and development.
13. Monitors PCP assignments based on data from Population Management System (PAMs)
14. Assigns clerical staff on the basis of workload, space and equipment.
15. Participates in analyzing data to modify and improve medicine department operations as appropriate.
16. Maintains network standards of customer service in daily activities with general public and staff.
17. Uphold patient safety and infection control protocols, HIPPA policy and protocol.
18. Produce annual evaluations and ensure that annual mandates are conducted timely.
19. Recognizes and praise accomplishment on the spot.
20. Brings new ideas to help improve the practice.
21. Serves as a mentor to the team.
22. Brings solutions to help resolve issues in the practice.
23. Other duties as assigned.
Minimum Qualifications
1. A bachelor’s degree from an accredited college or university in Business Administration, Social Sciences, Management, Health Care Administration or related discipline; and,
2. Six (6) years of full-time paid experience of program development in a hospital or health care facility in meeting community health needs, health care planning, financial planning, operations and analysis and implementation in an administrative, consultative, managerial or executive capacity; or,
3. A master’s degree from an accredited college or university and five (5) years of full-time paid experience at the level indicated in (2) above.
4. Demonstrated skills in written and medical communications; or,
5. A satisfactory equivalent of education, training and experience.

EDUCATIONAL LEVEL:
1. A baccalaureate degree from an accredited college or university in Business Administration, Community Health, Psychology or related discipline with one year of full-time experience in a supervisor or Administrative capacity in business management systems, general administration
2. A satisfactory combination of education, training Health care and medical/patient systems administration or and experience.
