Summary:

The Law Department is recruiting for an IP Operations and Information Management Assistant Position for an experienced, highly motivated, proactive and self-starting individual who is looking to challenge themselves in a supportive, team-oriented and collegial environment. Responsible for assisting with various IP docketing and records systems and related administrative tasks. This position requires an understanding of IP law that will allow the completion of duties without the need for significant direct or continuous supervision. Further, the person in this position is comfortable with the use of information technology and document management tools. The position requires strong written and verbal communication skills and the ability to effectively work with all levels of company management, domestic and international counsel and the United States Patent & Trademark Office, under minimum supervision of patent and trademark attorneys.


Responsibilities:

  • Assist the IPIM Manager with tasks related to the supervision of a team of patent and trademark associates and contract docketing staff.
  • Coordinate and/or conduct and track staff training.
  • Assist in the development and maintenance of procedural documentation, conduct continuous review of existing processes and develop and implement process improvement as necessary. (Documentation to include manuals, SOPs, docketing charts, BU/BL chart, etc.)
  • Assist IPIM Manager with managing and monitoring docketing workload to allow for timely and accurate completion of incoming correspondence.
  • Coordinate daily review of USPTO correspondence.
  • Assist with operation and general maintenance of IP database.
  • Perform periodic data audit of IP database and IP records to verify accuracy.
  • Create database queries and prepare reports for management, attorneys and staff.
  • Assist in establishing appropriate internal controls to safeguard IP estate including database and records.
  • Assist with coordinating and performing straightforward/simple database mass updates.
  • Schedule team meetings and collaborate with group leader on content.
  • Respond to docketing questions raised by paralegals, attorneys and liaisons on a day-to-day basis.
  • Participate on projects related to software utilized by IP department.
  • Will work with in-house counsel, outside counsel, inventors and business executives as required.


Qualifications:

  • BA/BS degree is preferred.
  • At least Seven (7) years of experience with IP docketing is required.
  • Experience using an electronic patent database is required (preferably Memotech).
  • Strong teamwork, organizational and planning skills and a detail-oriented background is required.
  • Working knowledge of Microsoft Word, Outlook, PowerPoint and Excel is required.
  • Experience with database administration (such as tables, reporting, mass updates) is preferred.
  • Previous experience developing and conducting training programs is preferred.
  • Previous people management/supervisory experience is preferred.
  • Examples of Team Leadership, Project Leadership or the ability to serve in a leadership position will be required.
  • A comfort level using information technology and document management tools is required.
  • The position requires strong written and verbal communication skills.
  • The ability to effectively work with all levels of company management, domestic and international counsel and the United States Patent & Trademark Office, under minimum supervision of patent and trademark attorneys is required.
  • Ability to work in-person in Skillman, NJ is required.
