Position Highlights
The Agriculture, Life and Veterinary Sciences and Cooperative Extension is hiring an Administrative Support Professional I. This position will provide administrative support for the Development and Alumni office and will report to the Alumni Relations Manager. The ideal candidate can manage a diverse workload with the ability to prioritize in a fast-paced environment. This position requires a high degree of professionalism, discretion, and organization; accuracy and attention to detail; use of good judgment; excellent communication and interpersonal skills; ability to set priorities and handle multiple projects; and a high degree of computer proficiency. This position works independently under general direction, keeps official records, recommend administrative policies, and interprets guidelines, procedures, policies, and practices. The administrative support professional I may have contact with high-level constituents requiring the use of business vocabulary, tact, discretion, and judgment.

Duties & Responsibilities
Duties and Responsibilities:
Provide administrative support and assistance for the development and alumni office.
Organization of the office suite; coordinate calendars and meeting room schedules including facilities management requests, etc.
Process financial reports and transactions through the University including travel authorizations and reimbursements.
Process P-card transactions, order office supplies, etc.
Analyze data, budgetary expenditures including reconciliation of UA Foundation, UAZ and other expenses.
Compile records including gift acknowledgements, reports, letters, prepare reporting for Lynx updates.
Process gift transmittals/gift agreements and donations for multiple CALS units from receipt to completion with UA Foundation.
Basic website and digital newsletter updates and content editing.
Event support as needed including Homecoming and the Annual Awards Night.
Assist with paperwork necessary for establishing new gift funds and applicable record keeping.
Other duties as assigned.
Requires occasional evening and weekends.
Knowledge, Skills, and Abilities
Excellent knowledge of office and administrative procedures and policies.
Skills in developing and maintaining good working relationships.
Excellent writing and proof-reading skills.
Excellent knowledge of the Lynx Fundraising system.
Excellent knowledge of the UACCSS system.
Interpersonal communication skills, including written and oral communication.
Exceptional organizational skills: detail-oriented, able to prioritize strategically, and effectively juggle multiple projects simultaneously.
Ability to effectively communicate. Knowledge of basic accounting.
Ability to coordinate marketing materials and department website.
Ability to handle multiple projects.
Ability to problem-solve and make decisions.
Ability to work independently and as part of a team.
Minimum Qualifications
- Bachelor's degree or equivalent advanced learning attained through experience required and up to 1 year of relevant work experience required.
