<span 72="">Administrative Support Position Summary:
<span 72="">Welcome guests to Swagelok Global Headquarters and direct them to the appropriate location by providing excellent customer service. Answer, manage and forward incoming calls to the appropriate person or department. Maintain, coordinate and complete administrative tasks in an efficient and professional manner to the highest quality standards.
Essential Duties & Responsibilities:
Greet and assist in person visitors and vendors providing outstanding customer service- Manage visitor verification and compliance of safety protocol
- Answer incoming calls, assist with questions and route to appropriate associate
- Receive, sort, and promptly distribute the US mail, interoffice mail, and packages daily
- Work with Executive Administration Team and Facilities to manage incoming catering
- Assist in developing standard operating procedures for this role
- Support the Executive Administrative Team as needed
- Inventory and order office supplies for global headquarters and other locations
- Complete purchase orders and invoicing in SAP
- Organize and facilitate the scheduling of office vendors
- Monitor the ID Reprints process
- Type, file, generate, route, send, and otherwise discharge correspondence. Maintain confidential information
- Additional administrative tasks as needed
Education and/or Work Experience Requirements
Required:
High school diploma or equivalent
Preferred:
1+ years of office administrative work, and 1+ years of customer service experience
Working Conditions and/or Physical Requirements:
Ability to perform the essential job functions safely and successfully with the ADA, FMLA and other federal, state, and local standards, including meeting qualitative and/or quantitative productivity standards.- Ability to maintain regular, punctual attendance consistent with the ADA, FMLA and other federal, state, and local standards.
