From providing assistance to our offices, partners, and practice teams, to leveraging resources and optimizing firm operations, our administrative team plays a key role in the firm’s success. Your role.
Your work will include, but not be limited to:
- Greet clients and visiting staff at the front desk
- Coordinate desk and office space for visiting staff
- Answer phone calls and route calls to appropriate staff
- Reserve conference rooms upon request from staff
- Organize conference rooms including equipment needed for conference calls and meetings
- Manage catering orders and food and beverage needs
- Scan incoming client documents and move workflows associated to client
- Prepare FedEx and certified labels for shipping
- Order and stock incoming supplies
- Assist with local office event coordination
- Assist/backup other administrative team members when needed
- Be a resource for the office and admin team including entering data or other light admin duties
- Responsible for frequent communications with all levels in the organization
The qualifications.
- HS Diploma or GED equivalent required. Higher level of education/college coursework preferred.
- 2 years of office experience preferred
- Proven administrative, organizational, and time management skills preferred
- Solid technical proficiency in MS Office applications (particularly Word, Excel, PowerPoint, and Outlook)
- Previous experience with telephone switchboard is helpful
- Ability to be in the office five days/week
- Qualified individuals must reside in or near the Chicago, IL area or be willing to relocate to the area for this opportunity
