The State of New Hampshire, Department of Transportation, Bureau of Bridge Design, has a full-time vacancy for an Administrative Secretary.
SUMMARY: To develop and monitor office management procedures for the Department of Transportation’s Bridge Design Bureau, including administrative support for Bureau staff.
MINIMUM QUALIFICATIONS:
Education: Associate's degree from an accredited institute of higher education or two years of college with a major study in secretarial science, business administration or computer science.
Experience: Two years of experience in a secretarial position involving supervisory, office management or administrative support experience. Each additional year of approved work experience may be substituted for one year of required formal education.
License/Certification: None required.

Knowledge of principles of public administration. Ability to use a variety of office machines. Ability to transcribe complex material at a working rate of speed. Ability to properly compose a variety of correspondence with only general instructions. Ability to assign, direct and supervise the activities of subordinates. Ability to gather, assemble, correlate and analyze facts to identify existing or potential problems. Ability to communicate effectively both orally and in writing. Ability to establish and maintain effective working relationships with other employees and the general public. Must be willing to maintain appearance appropriate to assigned duties and responsibilities as determined by the agency appointing authority.

RESPONSIBILITIES:
Manages the clerical section of the Bureau of Bridge Design, including solving work related problems as necessary and recommends training needs and implements training procedures to facilitate the flow of work in that section. Responsible to answer Bureau phone and deliver messages to Bureau staff, as required.
Coordinates the implementation of agency policies and procedures, including conducting research, collecting data, and reporting results to agency staff. Develops and implements administrative procedures for Bureau to ensure the support activities necessary to meet project schedules are provided.
Composes and types responses to agencies, individuals and suppliers relative to financial expenditures, errors, and personnel matters for the Bureau.
Collects, enters and audits all data regarding leave records and personnel records. Coordinates with Bureau Administrator for payroll approval.
Monitors expenditures relating to the operating budget of the Bureau, apprising Bureau Administrator of on-going expenditures and balances.
Prepares budget requests, supervises fiscal record keeping and orders supplies, materials and equipment.
Prepares payment vouchers and receivables for all expenditures relating to the Bureau.
Maintains bridge project cost statistics and produces report on same for Bureau to be utilized by outside agencies.
Coordinates with Bureau staff regarding various reports, letters, and memorandums for presentation to Governor and Council and the Front Office using the Management Tracking System (MTS) for approval.
Coordinates Defensive Driving and Equal Employment Opportunity Programs, serves as Bureau's Workers Compensation agent.
