Job description
The Arizona State Retirement System is seeking a flexible individual with work experience in administration and executive support to fill one vacancy on the Management Support Services (MSS) team in the Director’s Office.
- Preparing correspondence, reports, and presentations on behalf of all levels of agency management, Board of Trustees, and other staff.
- Review, edit, and format Director and Assistant Director appeal responses to members.
- Schedule appointments for/with agency Board of Trustees, Director, Deputy Director, Chief Investment Officer, Assistant Attorney General, and Assistant Directors.
- Fulfill printing requests and office supplies orders.
- Admit visitors and answer phones.
- Coordinate scheduling of conference rooms for agency meetings and coordinate with building management company to rent conference rooms to external entities.
- Coordinate Defined Contributions Committee meetings and create/distribute meeting materials.
- Assist MSS manager with PRIDE Recognition and Bright Ideas award programs, including preparation of certificates, ordering awards, and coordinating photo sessions.
- Provide support and back-up for Administrative Project Analysts, including Board/Committee meeting facilitation and staff travel arrangement/coordination.
- Provide support and back-up for building security/access.
- Provide support and back-up for requisition processing.
- Knowledge of administrative office practices.
- Knowledge of operational practices and terminology.
- Knowledge of pension/retirement systems, Arizona Revised Statutes, open meeting law, and office software products (Word, Excel, PowerPoint, Gmail, etc.).
- Skill in presentation development, problem solving, and customer service.
- Excellent oral and written skills.
- Ability to read, comprehend, and accurately interpret and apply policies, regulations, and procedures.
- Ability to generate charts/graphs.
- Ability to work independently and as part of a team.
- Ability to manage detailed work and maintain confidentiality.
- Prefer six months’ administrative/support experience.
