Administrative Coordinator IV - ADM000438 Provides administrative and general business support for senior leaders, activities of a business unit or department and coordinates assigned groups to maximize quality and efficiency of operations. May communicate with enterprise-wide partners at various levels based on the needs of the business and within scope of work.
  • Manages dynamic senior leader calendar with the ability to anticipate issues and ensure successful meeting coordination. Schedules and maintains meetings, travel itineraries and coordinates related arrangements for assigned leaders.
  • Strategically plans, coordinates, and executes all logistics and communications for team meetings and large events with minimal supervision.
  • Screens, prioritizes and prepared communications including, but not limited to, e-mails, reports, presentations, agendas, and minutes. Distributes information to the broader team on leader's behalf. Manages distribution lists and organization charts. Assists with leader's email as requested.
  • Arranges business travel and tracks expenses. May reconcile departmental budgets and invoices.
  • Addresses associate questions related to policies and procedures and other workplace concerns within scope of work.
  • Creates and distributes reports upon request which may require working with other parts of the organization to gather information. Identifies key issues and patterns from partial/conflicting data. Takes a broad perspective to problems and identifies new, less obvious solutions.
  • Creates and reinforces open partnerships with leaders to help manage an effective and efficient working team keeping all members organized, informed, and on task.
  • May include oversight and training of other Administrative Coordinators within the department or region.
  • Maintains confidential information and proprietary reports.
  • Other duties as assigned based on the needs of the business.
  • High School diploma or state equivalent.
  • Minimum 4 years of relevant experience including supporting more than one manager.
  • Advanced proficiency in Microsoft Office Word, Outlook, Excel, PowerPoint, Teams, and Zoom applications. Experience with travel and expense software.
  • Strong editing/proofreading ability.
  • Effective communication and interpersonal skills and ability to handle complex questions and issues independently within scope of work.
  • Ability to meet deadlines and manage multiple priorities to accommodate workflow.
  • Flexible and cooperative with ability to work in a team environment across multiple departments .
  • Experience supporting remote teams and/or leaders
  • Practical experience identifying and communicating gaps in performance/systems/reporting and presenting possible solutions to relevant parties.
