Role: Administrative Coordinator
Location: Rockefeller Plaza, New York, NY 10112
Type: 6 Months W2 Contract

Pay Rate: $31.59/hr on W2

Qualifications:

  • Minimum 1 -2 years commensurate experience
  • Must demonstrate proficiency in Microsoft Office (Outlook, Excel, Word)
  • Bachelor’s degree preferred
  • Associate's degree in office administration may be preferred
  • Intermediate level of experience with productivity tools, such as Microsoft Office Suite
  • Familiarity with office equipment, such as fax machines, copy machines, and phone systems
  • Comfort using business email system, such as Microsoft Outlook
  • Highly organized and able to create an organized and easy-to-follow system for others
  • Ability to handle multiple tasks and duties simultaneously
  • Independently motivated, with the ability to take on tasks and duties without immediate direction
  • Strong communication skills

Responsibilities:

This Coordinator role will primarily be responsible for supporting the Music Business & Legal Affairs team. At the outset there will be a focus in Late Night (especially assisting with The Tonight Show Starring Jimmy Fallon’s digital needs). We anticipate this role to be flexible and help where needs arise within the team (e.g. News, Sports). The successful applicant will provide comprehensive administrative support. This position does not include any creative responsibilities with respect to consulting on music placement in productions.

Essential Responsibilities:

Provide complete administrative support; including but not limited to the following areas:

  • Research music for all details pertinent to clearance and tracking including publisher/s, record label/s, performing rights society/s and type of usage
  • Cue sheet administration (e.g. training, creation, review, analysis, revision, submission)
  • Update systems (i.e. DMS, ELF, SharePoint, etc.)
  • Use internal systems and provide support/input necessary for expansion/upgrades
  • Process payments; set up vendors in system and interact with AP team
  • Assist with music license process: requests, pick-ups, licenses, etc.
  • Liaise with the NBC Music Library/s and other areas as they relate and also support the team & clients
  • Assist with tracking grids, cost charts and database for production music usage and licensing
  • Oversee team supply orders
  • Help schedule conference calls
  • Communicate and maintain relationship with team
  • Assist with department projects as they arise
  • Provide assistance to staff, managers, and senior-level officers as needed
  • Create, prepare, and deliver reports to various departments
  • Receive and forward communications to different staff and departments
  • Organize meetings and meeting schedules for each department
  • Perform clerical duties, such as filing, faxing, answering phone calls, and responding to emails
  • Coordinate with human resources to handle payroll and personnel databases
  • Work with accounting departments to process invoices, make payments, and track receipts
  • Ensure conference rooms and other meeting spaces are prepared prior to use
