Administrative Assistant:

100% in-office position with flexible hours

Administrative Support-

  • Work with the Office of the Chair in The Dept. of Medicine and provide support at the direction of the Asst. to the Chair to perform executive level duties
    • Provide support to the Asst. to the Chair and other Admin staff as needed
    • Serve as back-up to the Asst. to the Chair
    • Asst. with Faculty recruitment as needed
    • Provide support to Division Faculty as needed

Front Desk Coordination –

    • Greet all visitors and guests at front desk
    • Answer main line for department and triage calls as necessary
    • Accept and distribute all deliveries -Sort and distribute all incoming and outgoing mail (USPS and DOM inbox)
    • Maintain inventory of office supplies
    • Maintain inventory for break room
    • Initiate and supervise cleanliness of refrigerator/break room
    • Overall suite upkeep including break room
    • Initiate and follow-up on all work orders for Facilities Management and Environmental services (office remodels, paint, facility issues, etc.)
    • Initiate E-pro orders for Med Admin office supplies needs
    • Conference Room set-up/tear-down, and upkeep
    • Conference Room calendar management
    • Office suite access and security management
    • Manage touch-down space and in-office rotation
    • Manage DOM parking pass
    • DOM Concierge Service

MIT/Communications Administrative Support-

    • Provide administrative support to the Department of Medicine’s Information Technology team to include:
      • MIT inventory coordination
      • Order management
        • Coordinate orders across divisions
        • Track orders
        • Provide updates & correspondence as needed
        • Place E-procurement orders and maintain system for retaining packing slips
      • Manage MIT Processing inbox
  • Provide administrative support to Communications Manager for meeting scheduling, and special projects as needed
      • Administrative contact for SharePoint/Web Content meetings
        • Schedule Team and POC meetings
        • Obtain agenda items
        • Communicate agenda items
        • Provide minutes or follow-up as needed

High School Diploma or GED (or equivalent experience) and 2 years relevant experience

  • Physical Requirements/Strengths needed & Physical Demands:
    • Sedentary category requiring exertion up to 10 lbs. of force occasionally and uses negligible amounts of force to move objects. Sedentary work involves sitting most of the time.
