- High school diploma/GED and at least four years of experience.
Administrative Assistant
1885 (AFSCME)– Executive Office and Administrative Specialist
20% - Administrative Support
- Serve as departmental information source; answer and triage phone calls; greet and interact with visitors, staff and faculty in pleasant and professional manner; handle incoming and outgoing mail and deliveries.
- Provide administrative support for office leadership as needed, including scheduling of appointments, planning/coordinating meetings, reserving rooms and notifications.
- Assist in the development of office processes and procedures related to areas within scope of job duties.
- Provide back-up coverage and support for other staff members and office programming as needed.re
- Assist the Events and Engagements Coordinator with travel arrangements for staff and visitors ensuring all required forms are correctly completed and submitted.
- Assist the Events and Engagement Coordinator in supporting department events through the coordination of space, hotel contracts, equipment, catering, and other logistics.
- Perform other general office duties and projects as assigned by the Program Manager.
40% - Project Support
- Serve as Administrative Support for Diversity Community of Practice (DCoP), Diversity Inclusion, Justice Equity (DIJE) Collective, other committees associated with OED’s mission and institutional priorities:
- Manage member rosters, google group, intranet, and webpage
- Coordinate space for recurring DCoP committee meetings (Assessment Committee, Communications Committee, Programming Committee, and Policy Review Committee) and the DCoP full community meetings.
- Manage arrangements and details of planning and executing the DCoP Diversity Data Deep Dive semi-annual all-day workshops
- Serve as Administrative support for affinity groups
- Assist in coordination for IDEA events
- Provide administrative support as needed
15% - Office Support
- Manage, organize and purchase routine supplies and office items as needed.
- Work with vendors on the purchase and maintenance of office equipment such as copiers/printers.
- Perform general office tasks such as assisting with keys and access to the building, vehicle rentals, order letterhead, business cards, maintain and organize physical space.
- Serve as website content editor for OED Education Program and DCoP, backup for all other OED website pages, including videos, links, photos and text
- Serve as OED IT purchasing delegate/point of contact:
- Maintain an up-to-date list of desktop, laptops, and other IT equipment for OED and its Unit Offices
- Determine implement computer replacement schedule for 60 staff members
- Process departmental computer/device purchases for OED and its unit offices
- First point of contact for IT-help prior to contacting OIT
25% - Budget Support
- Serve as point person for department purchases using U Purchasing Card, reconciling purchases in a timely manner.
- Serve as lead contact for Affinity Groups budget process – working with up to 12 staff members across the campus
- Support the Office Administrator with various recurring budget projects and tracking
- Serve as OED’s ChromeRiver Navigator:
- Main point of contact for questions or issues
- Delegate for VP, 3 AVPs, 1 director
