Position Summary
Manages the day-to-day operations of the McAuley School of Nursing in Grand Rapids, MI, under the direction of the Program Site Director.
Essential Duties & Responsibilities
- Maintain consistent communication with existing clinical sites, provide lists of students each semester, respond to their concerns.
- Communicate with MSON staff (including Compliance Offers, Dean’s office, etc.) regarding clinical sites in Grand Rapids.
- Coordinate submission of any required student forms to the appropriate clinical site or government agency.
- In conjunction with the CHP Compliance Officer, maintain files for all clinical sites and contract data.
- Communicate with faculty related to clinical site requirements and follow-up on outstanding issues to ensure a successful clinical experience for the students and faculty. Maintain faculty compliance records as needed.
- Schedule and provide all adjunct faculty onboarding as it relates to the CHP & MSON policies, procedures, and processes.
- Distribute advising lists to faculty.
- Monitor and maintain student files to ensure compliance with FERPA & HIPAA regulations
- Ensure student files are safely delivered to the Detroit campus.
- Send NCLEX forms for seniors to Detroit
- Provide administrative support to Program Site Director & MSON faculty in Grand Rapids. Including but not limited to: answering the phone, filing, calendar management, composing business correspondence, reports, and related materials.
- Produce and/or edit documents for the Program Site Director, faculty and students such as course syllabi, exams, manuscripts, confidential documents and proposals.
- Complete special projects directed by the Program Site Director.
- Reconcile monthly travel and other transactions for faculty.
- Schedule meetings and appointments with Program Site Director and prepare meeting materials. Attend key meetings with Program Site Director and provide administrative follow up.
- Responsible for maintenance of office equipment.
- Support preparation of professional/accreditation agency reports.
- Collect the syllabi for each course taught in Grand Rapids and provide to Detroit Mercy.
- Ensure accurate information is provided to internal and external stakeholders related to Detroit Mercy and Aquinas. Serve as a point of contact for Mercy Health St. Mary’s.
- Collaborate with university stakeholders related to updates, changes, and polices/procedures with CHP and MSON
- Assist with the development and coordination of departmental special events. Assist with setup and cleanup for various meetings and events, contact vendors for food orders, materials, supplies and audio visual equipment. Handle other event logistics including creating programs.
- Lead the initiative to digitally archive all paperwork.
- Organize and distribute items to students as necessary, including uniforms and skills bags.
- Order supplies for skills lab as needed.
- Other duties as assigned.
Minimum Qualifications
High school diploma or equivalent
Two or more years of experience of work experience in an administrative role
Preferred Qualifications
Bachelor’s degree
Administrative experience in higher education

- Must have excellent organizational skills, be detail-oriented, and able to communicate with faculty, students and external contacts clearly and professionally.
- Understand and follow written and oral instructions.
- Ability to compose clear, concise and comprehensive analyses, correspondence, reports, and other written materials from brief instructions.
- Able to establish priorities and work effectively and independently with many demands on time.
- Critical thinking skills and sound judgement.
- Experience using Microsoft Word and Excel.
- Experience taking professional meeting minutes.
- Establish and maintain effective working relationships with all those encountered in the course of work.
Physical Requirements
Job may require lifting light weight objects (1 to 10 pounds) with no repetitive bending or stooping.
Work Environment
Regular exposure to favorable conditions such as those found in a normal office.
Salary/Pay Information
$14-18 per hour depending on experience
Anticipated Work Schedule
Monday – Thursday 8:30 a.m. – 5:00 p.m. Work takes place two days per week at the Aquinas campus and two days per week at Mercy Health St. Mary’s – schedule will be discussed with Program Site Director. Must be willing to work at both locations weekly.
