The Spriitual Life Development Department at our Eastern Territorial Headquarters in West Nyack, NY has an opening for an Administrative Assistant. This individual will support the Spiritual Life Development and Holiness (SLDH) Secretary and Ministry Engagement Director and provide secretarial and general office functions.
Responsibilities:
  • Preparation of correspondence as assigned, maintaining monthly itineraries for the SLDH Secretary and Ministry Engagement Director, taking/maintenance/distribution of minutes for SLD Staff Meetings, reserving meeting rooms for SLD Department staff meetings. Process all outgoing and incoming mail and packages. Personal, confidential, and important material will be handled from time to time. Reconcile corporate card statements and cash transactions thought SmartData system.
  • Proofread all written materials prior to publication (print, digital).
  • Scheduling and distribution of weekly prayer meetings (Chapel, International Prayer). Preparation of requests for monthly prayer to Divisional Commanders in accordance with the Territorial and Property Finance Council schedule. Record weekly chapel attendance and report totals to the Research and Statistical Bureau.
  • Preparation and registration of all department events (Reflective Retreats for Ministers and Employees, Cultivate Retreat.) Liaison with retreat locations when housing is necessary for an event. Liaison with Conference Center regarding needs for events.
  • Provide SLD resources for every territory in the world:
    • Communication/correspondence with Territorial SLD Secretaries regarding requests for materials.
    • Collection, preparation and mailing of resources to implementing Territories.
  • Answering phones, taking messages, receiving departmental visitors and processing department invoices and check requests through the Finance department.
  • Processing all applications and paperwork for annual conference participants including invoicing the appropriate unit for costs relating to the retreat. Preparing and mailing certificates of completion. Sharing ministers' course completion information with the Territorial Education Department.

Qualifications:
  • Associate degree
  • 3-5 years related experience
  • Strong communication skills, both oral and written.
  • Attention to detail and proofreading skills.
  • Ability to work independently and with initiative
  • Ability to multi-task and prioritize work
  • Discretion and professionalism are imperative.
  • Excellent organizational, office management and interpersonal skills required.
  • Strong computer skills required, including experience with Word, Outlook, Office 365, Excel, Access, Power Point.
  • Must have at least a basic knowledge of Christian beliefs.
