The Administrative Assistant for The Glass Jar, Inc. is an entry-level position for an organized and enthusiastic individual who is looking to expand their skills in administration and accounting. This person works directly with our Accounting Department (under the supervision and direction of the Bookkeeper, Heather Coatney and the Owner, Zachary Davis) to help maintain our financial records, including sales, purchases, receipts and payments. The Administrative Assistant will learn and understand our online food delivery platforms, as well as generate reports from point of sale systems for data entry into QuickBooks. In depth training will be provided.


This position allows for a flexible schedule; workload expectation is currently 8 hours of work per week.

Reliable transportation is required for travelling to our various locations in Santa Cruz County.
Work will primarily be performed in the Santa Cruz office (915 Cedar Street, Santa Cruz, CA 95060).
This position includes responsibility for the security and integrity of sensitive data and will require limited office management, HR and financial duties. The Administrative Assistant follows all laws governing the processing of monies and maintains The Glass Jar’s confidentiality.

Applicants for this position will be subject to a background check screening process.

Requirements


Job Duties Include:

  • Travel to various restaurant locations as needed for pick-ups and drop-offs of invoices, cash drops, checks, change banks, mail, etc.
  • Accounts Payable- Enter vendor bills and invoices into QuickBooks Desktop
  • Assist the Bookkeeper with printing and generating checks for vendors and employees
  • Deliver paychecks to employees at various locations
  • Count and reconcile cash tips and cash drops
  • Make bank deposits; assist with change banks for various locations
  • Assist the Bookkeeper with bi-weekly payroll
  • Assist the Human Resources Manager as needed
  • Assist with finance and HR projects as needed by management
  • Maintain, sort and file documents, receipts, mail, invoices, etc.
  • Perform relevant research and collect information
  • Compile data and perform data entry
  • Answer phones as necessary
  • Support other employees as needed
