Community & Sales Office Assistant

Under general supervision of the Community Manager, and in accordance with specified procedures, is responsible for handling the routine office work and administration of a community, as well a coordinating the sale of new, used and brokered homes.

Essential Duties

1. Handle telephone calls, including answering of routine questions and inquiries; respond to resident issues or concerns in a timely manner; refer complex or controversial matters to the Community Manager.

2. Collect and post resident security deposits, processing fees, rents, or other fees; record in the proper accounts and issue receipts.

3. Under the approval of Community Manager, collect rents, record rents, maintain petty cash fund, recording expenditures in proper accounts; prepare/research bills and statements for Community Manager approval; prepare bank deposit slips and deposit funds as required; make daily bank runs as needed.

4. Help the Community Manger organize and prioritize the work schedules of community maintenance and other office staff so that proper coverage is available at all times.

5. Assist the Community Manager with aspects of all office personnel; assist in keeping accurate attendance and payroll records on all employees.

6. Assist the Community Manager with all aspects of Home Sales and Leasing including but not limited to promotional materials, advertising, and selling of new, used and brokered homes. Making daily entries on Craig's list and other social media sources.

7. Make collection calls for site rental payments under direction of Community Manager, as appropriate.

8. Produce accurate business reports in a timely manner including but not limited to End of Month Reports, Budget Variance Reports, First of Month Reports, Site Status Reports, Occupancy Reports, Sales Reporting, Balance Due Reports, and other reports as directed by the Community Manager.

9. Maintain operating and office supplies; prepare supply orders for approval.

10. In absence of the Community Manager, will direct the maintenance or contractor personnel for emergencies.

11. Handle office information through computer entries and usage; date, stamp and route mail; maintain office records on all community activities and community residents; and miscellaneous typing of documents, notices, etc. as may be required.

12. Other duties as assigned by the Community Manager.

Position Specifications/Scope;

Bilingual, Sales Experience, CAM License & College Degree are a plus Knowledge, Skills, Abilities:

Must have Office 365 experience
Good verbal and written communication skills
Proper telephone etiquette
Working knowledge of computers
Willingness to work with the public on a daily basis
Minimum typing speed: 40-45 wpm

Computer: Proficient with Word and Excel. Need familiarity with property management software.

Job Type: Part-time

Pay: From $15.00 per hour
