Job description
The Office Manager is responsible for organizing and coordinating day-to-day office operations and procedures to ensure organizational effectiveness and efficiency. The Office Manager will deal with inquires on the phone and face to face and supply information regarding the organization to the public and to the individuals we serve. He or she will serve as a support link for fellow Office Staff, Program Coordinators, Nurses, and Program Directors.
Responsibilities Include:
A. Maintain Office Services
a. Organize office operations and procedures
b. Review and approve supply requisitions
c. Liaise with other agencies, organizations, groups, vendors, etc.
d. Update organizational memberships
g. Maintain office equipment
h. Answer telephones and transfer to appropriate staff member
i. Meet and greet consumers, staff, and visitors
j. Perform general clerical duties to include but not limited to: photocopying, faxing, mailing, and filing
k. Creation of consumer and employee packets
l. Maintain accurate mandatory training schedules per house and per staff
m. Maintain hard copy and electronic filing system
n. Offer support for other office staff including directors, nurses, and/or managers.
B. Maintain Office Records
a. Design filing systems
b. Ensure filing systems are maintained and up to date
c. Define procedures for record retention
d. Ensure protection and security of files and records
e. Ensure effective transfer of files and records
f. Transfer and dispose records per retention schedules and policies
g. Ensure personnel files are up to date and secure
C. Maintain Office Efficiency
a. Plan and implement office systems, layout, and equipment procurement
b. Ensure knowledge of staff movements in and out of building
c. Monitor visitors access and maintain security awareness
d. Receive and sort mail and deliveries
e. Organize and coordinate conferences or meetings
f. Coordinate meetings and catering
g. Maintain and replenish inventory
h. Check stock and determine inventory levels
i. Anticipate needed supplies
j. Verify receipt of supply
Job Type: Full-time
Pay: From $17.00 per hour
