    College/Department Information

    The Medical College of Georgia is one of the nation’s largest medical schools by class size, with 260 students per class. The educational experience is anchored by the main campus in Augusta, regional clinical campuses for third- and fourth-year students across the state and a second four-year campus in Athens in partnership with the University of Georgia. MCG’s expanding partnerships with physicians and hospitals across Georgia currently provides about 350 sites where students can experience the full spectrum of medicine, from complex care hospitals to small-town solo practices. MCG and its teaching hospitals also provide postgraduate education to more than 500 residents and fellows in 50 different Accreditation Council for Graduate Medical Education-approved programs. Our researchers and clinicians focus on what most impacts the health of Georgia's and America’s children and adults, including cardiovascular biology and disease, cancer, neurosciences and behavioral sciences, public and preventive health, regenerative and reparative medicine, personalized medicine and genomics. Our physician faculty also share their expertise with physicians and patients at about 100 clinics and hospitals statewide.

    Job Summary

    This individual will provide support for daily student interactions with class deans, including communications and calendar management, meeting preparation, as well as support for events that occur throughout the year related to student progress in the medical student curriculum. This individual will work closely with leadership in support of the activities of the student Learning Communities. This position will require significant collaboration with Student Affairs staff.

    Responsibilities

    The duties include, but are not limited to:
    Appointment/Meeting Scheduling/Travel
    1. Schedule meetings and manage calendars for 3 faculty/staff members in conjunction with other AU Campus offices
    2. Prepare travel requests and make travel arrangements for 3 faculty/staff for recruitment visits and professional conferences
    3. Complete and submit travel expense reports and all other travel-related paperwork to appropriate AU accounts payable personnel
    4. Monitor AU travel guidelines, procedures, and/or policy changes impacting the Office of Student Affairs

    General Office Functions
    1. Receive visitors, tutors and tutees, faculty, staff and students to Office of Student Affairs
    2. Direct visitors to various meetings in the academic affairs suite
    3. Perform routine office procedures such as answering the phone, replenish office supplies, keeping timesheets, photocopying, creating word documents and excel spreadsheets
    4. Provide information to prospective students, advisors, and parents about all Office of Student Affairs programs
    5. Attend weekly meetings as scheduled

    Academic Year Programs
    1. Prepare, disseminate and collect data for reports to faculty and staff monthly
    2. Assist with staffing and logistics for specific student related events
    3. Coordinate room arrangements and food for meetings with students and faculty

    Summer Programs
    1. Assist faculty and staff with Pre-matriculation programs, work with multiple campus offices, including: the registrar's office, student health, and student affairs to ensure receipt of necessary documents and arrangements for participants to enroll in classes, live in AU residence halls, and utilize the wellness center during the summer programs
    2. Work with classroom services and enrollment management to schedule classroom space and space for other summer programs and activities
    3. In collaboration with other support staff arrange special events for summer programs

    Evaluation & Report Preparation
    1. Assist with preparation, dissemination, and collection of evaluation/questionnaires for students, faculty and staff
    2. Assist with follow-up/tracking former to measure performance outcomes via phone, email, and mail.
    3. Generate, update and maintain databases consisting of follow-up data and tracking
    4. Assist with preparation of reports that are disseminated to designated MCG administrators/officials and faculty
    5. Assist with preparation, dissemination and collection of academic year programs

    Required Qualifications

    Educational Requirements
    Associate's degree from an accredited college or university in a related field and a minimum of four years' progressively responsible experience in administrative support positions.
    OR
    High School Diploma, GED, or equivalent from a State or Federal accrediting organization and seven years' of directly applicable experience.

    Knowledge of AU/MCG budget policies and procedures
    Excellent interpersonal, written and verbal communication skills
    Proficient in Microsoft Office and other computer software/databases
    Ability to perform under pressure and specialized knowledge relating to student programs
    Detail-oriented, self-motivated with strong organizational, management, prioritization and multi-tasking skills
    Ability to work independently; complete work and meet deadlines; exercise sound judgment and make responsible decisions

    Pay Grade: 12

    Salary: Minimum $15.06/hour - $15.93

    Salary to be commensurate with qualifications of the selected candidate within the established range (generally minimum-midpoint) of the position
