The Accounts Receivable Specialist/Expeditor is responsible for effective management, analysis, and problem resolution of the company’s outstanding accounts receivables. In addition, the position is responsible for posting all payments and/or account adjustments.
PRINCIPAL DUTIES & RESPONSIBILITIES:
- Invoicing - Perform invoice creation, sending, and auditing in Quickbooks Online.
- Work AR Accounts – Calls and/or emails customers about outstanding amounts
- Payment Process – Assists with processing payments on accounts, checks, credit cards, and ACH. Ensure payments are applied accurately and on the correct account/invoice. Process all credit card payments. Apply all credits/account adjustments.
- Research/Resolve Customer discrepancies – Works with necessary individuals, Project Manager, Project Coordinator, Vice President etc., to resolve customer issues for non-payment.
- Correspondence - Responsible for to overdue accounts, i.e., past due invoices, statements, collection letters such as 30-45-60-90, final demand letters, lien notices
- Liens – Prepares all liens to be filed in the appropriate counties for assigned markets. In addition, validate and complete requested lien releases for payment from customers.
- Deposit – Processes deposit using remote scan.
- Reporting – Produces AR Reports, analyzing job progress summaries and Work in Process reports
- AR Updates - Conducts calls to get status updates, provide support, escalate collection issues, and ensure issues are resolved in a timely manner.
- Collections – Compile all backup documentation and provide to legal counsel and/or small claims court.
SUPERVISORY RESPONSIBILITY:
- This role has no direct reports, but interfaces heavily with project managers, project coordinators, and division managers.
QUALIFICATIONS & REQUIREMENTS:
- Previous Accounts Receivable/Collection experience making calls and/or emails to customers about outstanding amounts
- Well-versed in QuickBooks and Microsoft Office products, specifically Excel
- High attention to detail
- Experience with processing construction liens
- Construction background desired but not required.
- Outstanding written, verbal, and analytical skills.
- Ability to communicate effectively orally and in writing; and establish and maintain effective working relationships with management, employees, vendors, and the public.
This is an in-office position, Monday through Friday, working from 7:30 am - 4:30 pm.
