Accounts Payable Representative
This position will involve entering invoices, scheduling payments, managing accounts as well as various other accounting responsibilities
Responsibilities will include:
Daily
- Receiving Daily Bank Report and recording all wire transfers and ACH payments. Identifying any unknown charges and investigate/ bring to supervisor’s attention
- Responding to inquiries regarding payments from inside and outside the organization
- Reviewing and recalculating invoices for accuracy before entering.
- Entering SG&A invoices with proper G/L coding
Weekly
- Printing and reviewing open item A/P aging report weekly
- Preparing a weekly report of all payments due by reference to payment proposal and A/P aging
- Managing debit memos
- Monitoring accounts to ensure payments are up to date
- Running computer checks weekly
- Cutting manual checks as required
- Entering expense reports
Monthly
- Inputting all invoices in the system for monthly close cut off. Summarize amounts to be accrued If invoices are not input before cutoff date
- Processing Wells Fargo charges monthly. Make journal entries as required
- Accrue monthly credit card expense via journal entry
- Enter and pay duty invoices
- Accrue unrecorded duty at month end
As Needed
- Enter all debit memos
- Instruct new employees on proper way to complete expense reports and Wells Fargo credit card statements
- Prepare journal entries as needed
The salary range for the position of Accounts Payable Representative is $63,000 - $68,000. Many factors go into determining employee pay within the range including prior experience, current skills, location/labor market, internal equity, etc.
Required Experience & Knowledge:
- High school diploma required
- College courses or degree a plus
- Experience working in Accounts Payable department processing a high volume of invoices for at least two years
- Strong computer software / system skills
- Strong knowledge of Excel and Word
- Good communication skills
- Ability to work quickly and accurately
- Detail oriented
- Flexible – able to pivot from task to task as necessary
