Job description
The accounting associate is responsible for helping to maintain a variety of client and vendor accounts. The accounting associate will work closely with the finance manager to ensure all accounting responsibilities are completed as required.
RESPONSIBILITIES:
- Manage accounts payable function including management of the company’s purchase order and invoice receiving software Materials Management System (MMS)
- Maintain processes to ensure accuracy and integrity of purchase orders and invoice receipts
- Accurately process manual accounts payable invoices, statement reconciliations, and miscellaneous electronic documents (pdf, Word, Excel)
- Manage company credit card expense process, including support of employee user application, integration with ERP, and proper reporting and entry to general ledger
- Support various company profiles in vendor portals
- Respond to supplier credit information requests, and related tasks
- Maintain and support customer-requested prequalification requirements, including supporting documentation and portal management
- Process daily cash receipt, application, lien waiver, and related accounts receivable tasks
- Support various fleet management tasks including registration, insurance, and other administrative needs
- Provide general low-level support to ERP, job cost, and general ledger systems, including entry and transfer transactions, reporting, and reconciliations
QUALIFICATIONS:
- Associate degree in accounting, finance, or equivalent technical discipline. Three years of accounting or finance experience will be considered in lieu of an associate degree
- Construction experience a plus
- Strong written and verbal communications skills
- Ability to think critically and assess various situations for the best course of action
- Proficiency with Bluebeam, Adobe Reader, PDF, MS Office 365 (Teams, Excel, Word, PPT).
- Specific intermediate Excel skills include vlookups, pivot tables, if/then statements, or equivalent
- Aptitude to learn new technology easily
- Keen attention to details
- Ability to visualize processes and process improvements
- Ability to work professionally and effectively with a diverse group of individuals
- Ability to make sound decisions by analyzing information and evaluating results to choose the best solution and solve problems
- High level of dependability and responsibility. Regular, predictable attendance is required
- Ability to work on phone and computer for extended periods of time and outside of standard business hours when necessary
