Academic Director
Cascade School of Music
Full-time/Exempt position
The Cascade School of Music in beautiful Bend, Oregon, has been enriching lives one note at a time for over 20 years. The Academic Director is responsible for managing administrative staff, overseeing several aspects of program development and implementation, student/parent services and billing, faculty support, student scheduling, and outreach/event support. The Academic Director reports to and works in close partnership with the Executive Director to achieve the following tasks.

Program Leadership & Management
- Lead the Administrative Staff in support of the overall Program
- Manage & assist new student inquiries for private lessons and classes
- Manage & assist inquiry and placement lists for private lessons and classes
- Manage & assist overall enrollment of private lesson students with faculty members
- Manage student records including creating student and family accounts, enrolling students in private lessons or classes, setting up billing schedules, teacher change requests, and student withdrawals
- Communicate with students and parents regarding policies and lesson rescheduling
- Update and communicate school Policy & Procedure
- Work with Faculty to create group class offerings throughout the calendar year
- Create/update annual Program Calendar
- Create/update Dates and Deadlines Guide
Student Services Administration
- Manage bi-monthly student billing services for tuition and fees, including collections, customized billing, and refunds
- Provide customized receipts and/or statements
- Manage Student Financial Aid fund including application processing, decision-making, monitoring monthly budget, renewal application process
- Answer questions from students and families regarding their account
Faculty Support
- Establish teacher working hours and availability and optimize studio assignment
- Assist with lesson cancellations and communications
- Assist with student attendance record management and finding solutions for their needs
- On-board new faculty in partnership with Executive Director
Other duties as assigned
Preferred Qualifications
- Bachelor’s degree or equivalent years of experience
- The Academic Director is expected to demonstrate impeccable ethics and interpersonal skills, promoting an environment that encourages inclusive and collaborative relationships
- At least 4 years of administrative experience and 2 years of personnel management
- Project/Program Management skills that can view things from both micro and macro levels
- Excellent written and verbal communication skills
- Demonstrated organizational skills, ability to undertake multiple tasks simultaneously while being able to prioritize
- Demonstrated ability to handle sensitive and confidential information
- Proven interpersonal skills with the ability to work effectively with students, families, faculty, staff, and Executive Director
- Strong attention to detail and keen analytical and decision-making skills
- Cross-cultural sensitivity and a customer-service orientation
- Ability to work well under pressure, prioritize duties and work well with other staff members
- Ability to stay calm in a crisis/skillful at conflict resolution
- Personable and approachable, able to confidently represent the school and its programs
- Comfort and familiarity with technology (i.e. Google Suite, Google Forms, Microsoft Word & Excel)
Additional Information
The Academic Director is a full-time/exempt position. Applicants must be able to work onsite Monday – Friday, with additional availability on select weekends in support of school events. Salary range is $65,000 -$70,000 with Paid Time Off (PTO), medical, vision, dental benefits.
